Position Summary: The Procurement & Inventory Coordinator supports the organization’s purchasing and inventory operations by ensuring materials, supplies, and resale goods are accurately tracked, efficiently ordered, and readily available. This role manages vendor communication, maintains inventory databases, and produces reports to support operational decision‑making. The Coordinator works closely with the warehouse team, overseeing product flow documentation, shared inboxes, and delivery scheduling tools. Success in this role requires strong attention to detail, organization, and the ability to manage multiple priorities while communicating effectively across departments.
Hourly Rate: $19.95 - $21.68 per hour
Essential Duties and Responsibilities: The Procurement & Inventory Coordinator responsibilities include the following and other duties as assigned:Â
Procurement
- Creates and processes purchase orders with accuracy and adherence to company policies
- Tracks order status and follows up with suppliers to resolve delays or discrepancies
- Places routine store supply orders and monitors supply levels to prevent shortages
Inventory Management
- Monitors and maintains basic inventory levels to ensure adequate stock availability
- Verifies incoming shipments, documents receipts, and resolves issues with missing or incorrect items
- Maintains an organized and efficient work station for quick document retrieval
Database Management & Item Maintenance
- Maintains accurate item records within inventory and procurement databases
- Updates product descriptions, pricing, vendor information, and item classifications
- Ensures data integrity by reviewing and correcting inconsistencies or outdated information
- Supports database cleanup, system improvements, and item maintenance projects
Â
Reporting & Documentation
- Runs routine and ad‑hoc reports on inventory levels, purchasing activity, and vendor performance
- Maintains accurate purchasing and inventory files for reference and recordkeeping
- Provides timely updates to internal teams regarding order status, stock availability, and potential delays
Cross Department Coordination
- Communicates with internal departments to understand material needs and delivery timelines
- Collaborates with finance on invoice reconciliation, budget tracking, and cost analysis
- Supports process improvements to enhance procurement and inventory workflows
- Exhibits effective written and verbal communication skills for intradepartmental coordination
Qualifications/Basic Job Requirements:Â
- High School diploma or equivalent required.
- Two years’ experience in general bookkeeping and/or computerized accounts payable processing for moderate-sized company preferred.
- One year experience data entry and inventory management.
- Proficiency with inventory management systems, databases, and Microsoft Office
- Working knowledge of POS systems
- Knowledge of inventory and shrink control.
- Procurement, retail, and shipping and receiving experience is a plus
- Ability to run reports and interpret data to support decision‑making
- Strong attention to detail with a commitment to accuracy
- Ability to prioritize workload and meet deadlines in a fast‑paced environment
- Excellent organizational skills and ability to maintain an orderly workspace
- Self‑motivated and able to stay focused during routine or repetitive tasks
- Strong problem‑solving skills and ability to resolve discrepancies

Physical Demands: While performing the duties of this job, the employee is regularly required to sit, talk, hear and type. The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision.Â
Work Environment: The noise level in the work environment is usually moderate. The employee is occasionally required to work in the warehouse assisting with seasonal distributions. The warehouse environment temperature varies and can be dusty and loud with forklift noise. This position could require periodic travel to stores within our region. The employee must have reliable transportation.Â
Work Schedule:
Monday - Friday, 40 hours per week. 8am – 4:30pm. Thirty-minute lunch.
Must be able to work non-standard hours, on occasion.
