SALARY:          BASED ON SALARY MATRIX+BENEFITS*  REQUISITION: 556

POSITION SUMMARY:
Responsible for filing all Court files not being utilized into their proper location consistent with the Court’s filing system.

ESSENTIAL DUTIES AND RESPONSIBILITIES
1.    Daily maintains organized filing of Tribal Court case files by filing all files into their proper location consistent with the Court filing system.
2.    Assists Court Clerk in preparation of the upcoming docket by pulling appropriate files, putting the contents in order. 
3.    Assures all files are in order prior to the beginning of a court session.
4.    Responsible for prompt creation of new files for incoming cases. Double checks assigned case number for accuracy.
5.    Updates the status sheet stored on a Word file and reviewing contents to ensure parties and case numbers are correct in the system.
6.    On a daily basis, promptly and accurately downloads all new pleadings for upcoming hearings from the Full Court Data Management System.
7.    Answers general questions from co-workers regarding case file status and location.
8.    Maintains the archives of closed and sealed cases on the internal archiving system stored in the shared drive.
9.    Works with and maintains confidentiality at all times.
10.  Other duties as assigned.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
 
QUALIFICATIONS AND REQUIREMENTS

Education and/or Experience
High School Diploma or G.E.D. and one year office experience is required; or satisfactory equivalent combination of more education and less experience. Word processing skills required for preparation of daily Court docket. Experience in a Tribal Court setting or office with heavy filing duties preferred.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

PHYSICAL DEMANDS
•    While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
•    The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
•    The employee must regularly lift and/or move up to 25 pounds.
•    Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.

WORK ENVIRONMENT
•    The noise level in the work environment is usually moderate.
•    Work is performed within the office area of the Clerk of the Court. This position has no in-Court Responsibilities.
