POSITION SUMMARY
The Administrative Assistant provides comprehensive administrative and operational support to leadership and clinical operations at RadX Inc.. This role supports scheduling coordination, project tracking, meeting organization, reporting preparation, and day-to0day administrative workflows that support efficient healthcare operations. The Administrative Assistant works close with the executives, provides, and operational staff to ensure clear communication, timely project completion, and smooth administrative processes across the organization.

ESSENTIAL JOB DUTIES
At RadX Inc., your daily tasks will be diverse and engaging. You will:
- Manage executive calendars, schedule provider-related and operational meetings, and coordinate provider availability.
- Organize and prepare meeting agendas, supporting documentation, and follow-up action items.
- Track healthcare and radiology projects (e.g. accreditation initiatives, compliance initiatives, equipment installs, and operational initiatives), prepare progress updates, and ensure timely completion of action items.
- Support department operations by coordinating meetings preparing agendas, and documenting follow-ups.
- Assist in preparing operational reports, presentations, and correspondence for leadership and physician teams.
- Maintain organized documentation, project files, and administrative records.
- Prepare project updates, track progress, and follow up on action items to support timely project completion.
- Act as a liaison between executives, providers, clinical staff, and external partners, ensuring clear and timely communication.
- Handle incoming calls, patient or provider inquiries, and correspondence with professionalism and discretion.
- Support leadership in managing priorities, delegating tasks, and monitoring progress on departmental initiatives.
- Utilize productivity tools suchs as Google Workspace, Microsoft Office, and project management platforms (e.g., Asana, Trello, Monday.com).
- Prepare expense reports and assist with budgeting, purchasing, and invoice processing related to healthcare operations.
- Maintain confidentiality of sensitive organizational information and prioritize tasks effectively.
- Maintain consistent and reliable attendance in accordance with the company's Attendance and Punctuality Policy.
- Perform other related duties as assigned.

- Ability to sit, stand, and work at computer for extended periods.
- Frequent use of hands and fingers for keyboarding and documentation.
- Ability to commute clearly and professionally with internal staff and external partners.
- Work performed primarily in an office or clinical administrative environment.
qualifications:
- Proven experience as an Administrative Assistant, Executive Assistant, or similar role.
- Experience in a healthcare or radiology environment strongly preferred (knowledge of medical terminology required and clinic workflows a huge plus).
- Strong organizational and time management skills with the ability to handle multiple projects simultaneously.
- Excellent written and verbal communication skills, including professional phone etiquette.
- Proficiency in Google Suite and/or Microsoft Office; experience with project management tools preferred.
- Familiarity with healthcare systems, EHRs, or radiology information systems is an advantage.
- Project management support experience is a plus.
- High level of professionalism, discretion, and problem-solving ability.
