Join Our Team as an AI Implementation Specialist II with Richman Property Services, Inc.!

Richman Property Services is currently seeking a full-time AI Implementation Specialist II to join our dynamic IT team. Are you a hands-on builder who turns business needs into practical, safe, and supportable AI-enabled workflows? If so, we want you on our team!

This is a hands-on implementation role: writing and modifying automation logic, integrating systems through APIs, testing outputs, and documenting everything so the broader IT team can support it. It works under the direction of IT leadership on an approved roadmap. It is not a management role, not a solo architect role, and not a role that owns company AI systems in isolation.

Ā Position: AI Implementation Specialist II
Location: Remote, with a required visit to our Tampa Support Center office once per month

⭐ Key Qualifications:
Ā· Anthropic Claude API or comparable LLM API: prompt design, tool/function definitions, output testing (required)
Ā· n8n or comparable automation platform such as Zapier, Make, or Power Automate (required)
Ā· Zendesk administration: triggers, automations, webhooks, API integration, reporting (required)
Ā· AWS working knowledge: EC2, S3, IAM, Lambda, and CloudWatch (required)
Ā· Linux command line: files and permissions, services, logs, SSH, scheduled jobs (required)
Ā· Git and Jira: version control, code review, and all work planned, tracked, and closed with linked documentation (required)
Ā· Able to read, modify, and troubleshoot Python or JavaScript/Node without depending on someone else to change code (required)

About Us:
Richman Property Services is where quality living meets exceptional service. Our priority is to create vibrant, secure communities that residents are excited to call home, all while offering top-tier customer care every step of the way.

ļø Responsibilities:
Internal AI Assistant Implementation and Support: Build, test, document, and improve our internal AI assistant and related tools, including prompt and retrieval logic against our vector knowledge base, response testing before release, knowledge-source maintenance, and converting user feedback into tracked Jira issues.

Workflow and Automation Engineering: Build and support AI and integration workflows in n8n connecting Claude, Zendesk, Yardi data, Entra ID, SharePoint, and other approved systems. Write and modify supporting scripts and API integrations, design for failure with error branches and safe fallbacks, and test in a non-production path before touching live data.

Documentation, Version Control, and Runbooks: Keep every system supportable by the broader IT team. Commit code, prompts, and exported workflow definitions to Git with meaningful history, maintain runbooks and workflow diagrams, and document escalation steps, support procedures, and end-user instructions.

Governance and Safe Use: Support IT leadership in responsible AI use by testing PII, HR, payroll, and confidential-data guardrails, enforcing least-privilege access, managing secrets and credentials properly, and reporting unsafe outputs or scope creep immediately.

Cross-Department Support: Work directly with departments to understand how AI tools are used and where they fall short, translate needs into clear technical requirements, and support training, adoption, and onboarding for new AI-enabled processes.

Operational Automation Support: Assist with documentation, testing, and improvement of operational automations, including camera/NVR and dispatch workflows, tracking failures and driving down false positives.

āœ… Requirements:
Education:
Ā· High School diploma, GED, or Trade School; College preferred, not required

Experience:
Ā· 3+ years in IT, systems administration, integration, or automation work, including at least one year building or directly supporting production automations

Skills & Certifications:
Ā· Practical understanding of REST APIs, JSON, webhooks, and API authentication (keys, tokens, OAuth)
Ā· Pinecone or comparable vector database and retrieval-augmented generation (preferred)
Ā· Microsoft Entra ID administration, Graph API, SSO, and automated provisioning (preferred)
Ā· Yardi Voyager data structures and reporting (preferred)
Ā· Supporting exposure to SharePoint, Microsoft 365, and camera/NVR systems (preferred)
Ā· Clear written English; documentation quality is a graded part of this role
Ā· Sound judgment with confidential data, including HR, payroll, resident, and PII records
Ā· Property management, multifamily, or affordable housing industry experience (preferred)

Benefits:
Ā· Competitive pay and comprehensive benefits package
Ā· Quarterly increase opportunities
Ā· Medical, dental, vision, life insurance, and disability coverage
Ā· 401(k) retirement plan with employer match of $0.50 for every $1.00 up to 6%
Ā· Opportunities for student loan repayments and tuition reimbursement
Ā· Paid sick time, vacation time, and opportunities for career advancement
