Position Description: The Employment Tax Relationship Specialist serves as the primary point of contact and key liaison for clients regarding employment tax matters, working closely with internal payroll, tax, finance, legal, and human resources teams to support accurate, timely, and compliant employment tax operations. This role builds strong client relationships, manages employment tax inquiries, monitors compliance requirements, coordinates issue resolution, and collaborates with internal departments to resolve tax-related issues while providing exceptional customer service across federal, state, and local tax matters.
 

Roles & Responsibilities:

  • Serve as the primary relationship contact for employment tax questions, escalations, and service needs.
  • Build and maintain strong client relationships through proactive communication.
  • Research and resolve payroll tax inquiries, notices, and account discrepancies.
  • Coordinate timely responses to tax notices, agency inquiries, and audits.
  • Partner with payroll, finance, HR, legal, and external providers to research, resolve, and document employment tax issues.
  • Coordinate with payroll, implementation, client onboarding, licensing, and tax filing team.
  • Support compliance with federal, state, and local payroll tax requirements, including withholding, unemployment, wage reporting, and employer tax obligations.
  • Coordinate state withholding tax registrations for new jurisdictions, including gathering required business, payroll, and entity information and submitting or tracking applications with state tax agencies.
  • Validate state withholding account numbers, deposit frequencies, filing requirements, effective dates, and agency credentials to ensure payroll systems are configured accurately before employee wages are processed.
  • Maintain registration records, agency confirmations, correspondence, account access details, and internal status trackers to support audit readiness and ongoing compliance.
  • Assist with payroll tax data, quarterly filings, registrations, and jurisdictional setups for accuracy and completeness.
  • Maintain strong working relationships with internal stakeholders, tax agencies, vendors, and clients.
  • Track open issues, identify trends, and recommend process improvements to reduce risk and improve service quality.
  • Prepare status updates, issue summaries, and documentation for leadership and cross-functional partners.
  • Support implementation of new processes, system changes, employer registrations, and compliance initiatives
  • Update payroll and tax systems with new account information.

Qualifications:

  • Bachelor’s degree in Accounting or directly related field required
  • Minimum of 5 years related experience
  • Knowledge of MasterTax, Prism, and SalesForce
  • Understanding of accounting and general ledger analysis
  • Knowledge of employment taxes as well as state and local taxes
  • Strong verbal and written communication skills
  • Solid knowledge of Microsoft Office applications, including, but not limited to Excel and Word
  • Detailed problem solver
