Intake Coordinators are part of Defy Medical’s growing sales team and are responsible for gathering all new patient information, entering it digitally, and following up with both patients and laboratory partners to ensure successful patient on-boarding. Intake Coordinators will collaborate with internal departments to collect new patient requirements, answer patient questions, and prepare for scheduling consults with a provider. Intake Coordinators must be detail-oriented and able to manage multiple patients in the various steps of the intake process, while providing timely communication to internal teams.

As an Intake Coordinator, you should be comfortable in a fast-paced outbound call environment, be a self-starter who is comfortable managing their own time, be results and outcome oriented and above all, dedicated to providing a positive patient experience.


Duties include but are not limited to:

  • Gather all patient information and requirements including but not limited to: medical history, patient exam forms, laboratory panels, and payment information
  • Maintain a 24-hour turnaround time on contacting all new patients
  • Responsible for accurate and complete patient information recorded in the CRM, EMR and other software
  • Maintain high-volume outgoing communications, with details logged in CRM
  • Communicate between patient and appropriate Defy departments to assist in advancing the intake process
  • Collaborate with Patient Liaisons on any patient inquiry regarding treatment plan or delay in on-boarding
  • Follow established sales operating procedures and best practices
  • Meet all performance expectations and regularly exceed goals


Skills:

  • Capable of making a high volume of outbound telephone calls and emails daily
  • Ability to interact effectively with diverse patients via phone and email
  • Excellent interpersonal and problem-solving skills
  • Excellent written and oral communication skills
  • Maintain above average attendance and punctuality
  • Ability to learn detailed knowledge of integrative wellness and specific clinical treatments
  • Willingness to work collaboratively and ability to demonstrate effective teamwork
  • Ability to prioritize work and meet deadlines
  • Must be self-starter and results-driven
  • Experience with CRM software (i.e. Salesforce)
  • Must be detailed-oriented and able to multi-task
  • Desire to grow into a future position within the Defy Medical sales team


Position Qualifications

  • Previous experience in patient intake or related medical office experience preferred
  • Proficiency in written and verbal communications
  • Genuine interest in therapies related to wellness, quality of life, and hormone therapies
  • Medical records: 1 year (Preferred)
  • Salesforce: 1 year (Preferred)


Available Shift: Monday-Friday 10am-6pm


Salary: $17.00 per hour + $1000 KPI bonus quarterly
