About the Role

The Executive Coordinator plays a key role in supporting the CEO and Business Engagement Manager with daily tasks and email and calendar management.  This person supports executives by managing communications, scheduling, and logistics. This person provides reliable, high-quality support that keeps both leadership and operations moving forward.

The Executive Coordinator may be asked to travel between the office, marketing photoshoots, and the residence during the work day. The schedule requires flexibility to support with marketing shoots on evenings and weekends.


Your Key Contributions

  • Oversee email inbox management for the Business Engagement Manager, prioritize communications, draft responses, and ensure timely follow-through. 
  • Schedule and maintain calendars, including the Executive Calendar, resolve conflicts, and align commitments. 
  • Support marketing-related activities including but not limited to photo shoots and live streams for social media.  
  • Maintain task tracking systems and ensure completion of priorities. 
  • Provide coordination for meetings, live events, marketing photoshoots, and on-site support. 
  • Coordinate preparation, signatures, notarization, and distribution for various documents. 
  • Prepare materials and ensure smooth execution for meetings and events. 
  • Track commitments and ensure completion of assigned tasks. 
  • Utilize technology systems and tools to improve workflow efficiency. 
  • Flexibility to support marketing events during evening or weekend hours.  
  • Flexibility to travel locally during working hours.

  • Strong organizational and communication skills 
  • Proficiency in Microsoft Office tools 
  • Ability to manage multiple priorities 
  • Fluent in Spanish preferred 

 

Minimum Education and Experience Requirements (Essential Skills, Knowledge & Abilities)

  • 1-3 years of prior experience supporting executives with solid grasp of tools and methods
  • Experience working with discretion with confidential information


Work Schedule

  • Typical schedule is Monday through Friday 8 AM - 5 PM EST (7:30 AM start on Wednesdays)
