Job DetailsJob Location: Hackley School - TARRYTOWN, NY 10591Position Type: Full TimeSalary Range: $50,000.00 - $60,000.00 Salary/yearPosition Overview Hackley School seeks an Admissions Coordinator for a 12-month staff position responsible for supporting all aspects of the admissions process. The Admissions Coordinator will work with the Associate Director of Enrollment Management, the Director of Enrollment Management, the Associate Director of Admissions and Outreach, and other members of the Admissions Team, as well as the Communications Team, to help the School meet short- and long-term enrollment goals identified by School Leadership and the Board of Trustees. The Admissions Coordinator reports to the Associate Director of Enrollment Management and is a member of the Admissions Team. Specific Responsibilities Primary point of contact for all inquiries and visitors Greet and welcome visitors upon arrival, arriving by 7:30 AM on days when early visitors are expected Answer the main admissions phone line and, when needed, other office lines Manage the Admissions email account; create content/templates for text and email communications in Veracross and individual responses Manage incoming and outgoing mail for the Admissions Office Schedule visitors and maintain the Admissions Office calendar for campus tours, information sessions, and interviews for the Admissions Team, and several faculty interviewers. Create interview, tour and admissions events in Veracross Coordinate family schedules with Lower, Middle and Upper School schedules Review and schedule online tour and interview registrations Send daily notifications to faculty and staff of interview schedules and applicant visits Send confirmation emails for visiting families Provide administrative support and coordination of Admissions events, including but not limited, to two fall Saturday Open Houses Prepare and send invitations to prospective families for events and update online registration forms as needed Prepare photocopies and information packets, arrange facilities bookings and catering, and ensure that all events are listed on the all-school calendar Communicate with offices across campus Attend and help administer event registration and check-in Manage application files (more than 700 a year) and maintain application status correspondence with applicant families to support timely submission of required materials. Partner with the Associate Director of Admissions and Outreach to oversee and manage the Student Ambassador Program Partner with the Admissions Team for office support and backup Provide data entry and document management to produce reports for divisional offices, Advancement Office and Hackley Parent Association, as well as ad hoc reports for marketing purposes and historical data collection, etc. Work with the Finance Office regarding per diem payments to interviewers and evaluators Transcribe notes from Board of Trustees committee meetings as needed Other duties as assigned QualificationsQualifications: Bachelor's degree required and a minimum of two years’ relevant is preferred. Admissions, Independent School and/or teaching experience will be helpful, as would paid or volunteer experience as a student ambassador or tour guide. Genuine interest in families and education, a sense of humor and warmth, and a positive outlook. Enjoy meeting new people and assisting them on the phone, over email and in person Able to work as part of a goal-oriented team in an environment that can be fast-paced; must also have a growth mindset and desire to learn new skills Strong organizational, multi-tasking and prioritizing skills, as well as a professional demeanor and manner Strong knowledge of the Microsoft and Google suites, including facility with mail merge, labels, name tags and letter formatting, preferred Experience with admission databases such as Veracross, preferred Written and spoken fluency in Spanish or Mandarin is a plus  Salary and Benefits The salary range for this position is $50,000 - $60,000, depending on experience. Hackley School offers a comprehensive benefits package, which includes a medical, dental and vision package; sick and vacation time; life insurance, AD&D and long-term disability insurance; flexible spending or health savings account; tuition remission; and the possibility of eventual on-campus housing.
