Environmental Project Specialist
Job Profile Summary
The Environmental Project Specialist provides vital support to the planning, coordination, and execution of environmental capital projects across North America, including line replacements, containment system upgrades, water intrusion retrofits, proactive tank replacements, and other remediation or compliance-driven initiatives. Working closely with the Environmental Project Managers, this role helps ensure projects are delivered safely, on time, within budget, and in accordance with federal, state, provincial, and local environmental regulations.
The Environmental Project Specialist manages key administrative, logistical, and technical components of project execution such as equipment ordering, documentation control, vendor coordination, permitting support, scheduling, and project tracking. Reporting to a Project Manager, this role requires strong organizational skills, attention to detail, and the ability to support multiple complex projects simultaneously while maintaining high standards of compliance, quality, and operational excellence.
Job Description
- Project Coordination & Support: Assist Project Managers in the planning, scheduling, and coordination of environmental capital projects. Support day-to-day project activities to ensure work progresses according to scope, schedule, and company standards.
- Equipment Ordering & Logistics: Manage equipment procurement, including ATG components, piping, hardware kits, specialty materials, and long-lead items. Track deliveries, coordinate shipments with vendors and contractors, and ensure materials are on-site when needed to prevent project delays.
- Documentation Management: Maintain organized project documentation including scopes of work, budgets, permits, proposals, contractor submittals, inspection records, and close-out packages. Ensure all documentation is accurately stored for internal audit and regulatory compliance.
- Permitting Support: Assist Project Managers in submitting permit applications, tracking approval timelines, coordinating inspections, and ensuring all required documents are completed and filed in accordance with jurisdictional requirements.
- Vendor & Contractor Coordination: Act as a point of contact for contractors, consultants, and equipment vendors to support scheduling, deliverables, and field activity readiness. Ensure contractors have the most updated project documents, safety expectations, and technical specifications.
- Field Support & Scheduling: Help prepare project schedules, coordinate site access with Operations and Facilities teams, and support communication between field technicians and internal stakeholders.
- Budget Tracking & Invoice Support: Assist with cost tracking, reviewing contractor invoices for accuracy, verifying equipment receipts, and ensuring alignment with approved budgets and scopes.
- Data Entry & Project Tracking: Maintain project trackers, dashboards, Smartsheet logs, and TITAN/Nuvolo entries to ensure accurate and up-to-date visibility across all projects. Provide regular updates to Project Managers and leadership.
- Quality & Compliance Support: Assist in verifying that contractors follow company safety policies, environmental regulations, and project specifications. Help identify discrepancies or issues that require escalation.
- Process Improvement: Support efforts to streamline equipment ordering, documentation workflows, communication templates, and contractor coordination processes to improve efficiency and consistency across environmental projects.
- Technical Support: Apply basic technical knowledge of UST systems, piping, containment components, ATG systems, and fueling infrastructure to support troubleshooting and field inquiries under the guidance of Project Managers.
- Cross-Functional Collaboration: Work closely with Environmental Compliance, Facilities, Operations, Finance, Procurement, and other internal teams to support smooth and efficient project execution.
Qualifications
- Education: Bachelor’s degree in Environmental Science, Engineering, Construction Management, or related field preferred, but not required.
- Experience: 2–4 years of experience in environmental compliance, construction, fueling infrastructure, project coordination, or related technical role preferred. Experience working with contractors or in a regulated industry is a plus.
- Technical Knowledge: Working knowledge of UST systems, piping, dispensers, containment systems, ATG equipment, or similar infrastructure preferred.
- Project Coordination Skills: Demonstrated ability to support multiple projects simultaneously, manage logistics, and maintain organized documentation.
- Regulatory Awareness: General understanding of U.S. federal, state, provincial, and local environmental regulations affecting fueling infrastructure; ability to quickly learn permitting processes.
- Vendor & Contractor Interaction: Experience coordinating with vendors, reviewing contractor documents, and supporting field operations preferred.
- Systems Proficiency: Strong skills in Microsoft Office Suite; experience with project management tools such as Smartsheet, Power BI, TITAN Cloud, or Nuvolo is preferred.
- Communication: Excellent written and verbal communication skills, with the ability to support clear, timely project communication across multiple stakeholders.
- Financial & Analytical Ability: Basic budget tracking skills, data accuracy, and the ability to review invoices and project costs for consistency.
- Travel Requirements: Occasional travel may be required (up to 25%) to support site visits, inspections, or vendor engagement.
- Teamwork & Adaptability: Ability to work collaboratively, remain organized in a fast-paced environment, and adapt to shifting priorities and project demands.
