Job DetailsJob Location: Tempe - Tempe, AZ 85282Position Type: Full TimeJob Category: Admin - ClericalSummary This position is responsible for directing, recording, tracking and maintaining all aspects of the front office and inventory movement. The Office Coordinator provides reception and clerical support for the Manufacturing Facility in order to maintain efficient communications for vendors, site employees, and company management. This position coordinates office operations to ensure organizational effectiveness and efficiency. The Office Coordinator is accountable for a variety of duties that support various functions ranging from Facility Leadership such as Manufacturing, Finance, Security, and Procurement along with front office activities, including but not limited to answering phones, greeting visitors, archiving documents, and material/purchasing requests. Essential Duties and Responsibilities Coordinate procurement information and inventory requirements with purchasing and customer service department, as well as vendors and customers on occasion. Audit inventory -monitoring stock records and compiling evaluation reports – transact in Batchmaster as necessary. Maintain, organize, and archive production records. Procures location supplies which often include but are not limited to office, janitorial, Point of Sale materials, customer promotions, first aid replenishment, break room, and work-related equipment/handling supplies. Codes and submits invoices for payment. Coordinates meetings and events for internal and external groups (scheduling, catering, room setup, etc.) Facilitates and/or schedules facility or system repair requests as required. Maintains the site security system which includes ensuring badge access and related security equipment (cameras, fire alarms, sprinklers) are operational and related system documentation is current. Maintains a security access log which often includes maintaining alarm codes, key issuance, safe access, and specific access privileges. Performs general administrative duties such as mailing/shipping of materials Handles all incoming calls, greets and directs visitors and guests to the facility, performs multiple public, vendor, and teammate contact duties to ensure that proper destination is reached Maintains records, verifies the accuracy, and generates miscellaneous reports. Performs a variety of clerical duties to assist in supporting the facility and employees. Supports the Company Stewardship Programs and Events as needed which can include communications, meetings, and community outreach, and product donations. Provides training and backup coverage for other Admins as required and other duties as assigned. Responsible for maintaining front office. Maintain a clean and safe work environment at all times. Any other duties assigned. QualificationsQualifications Must possess good analytical skills. Multi-tasking capabilities required. Must have excellent communication skills. Must have excellent time management and organization skills. In-depth knowledge of Microsoft Office Suite required. Must possess a helpful, friendly, and upbeat attitude. Prior experience in a work environment performing administrative, clerical, and receptionist duties. Handles sensitive information in a confidential manner. Education/Experience High school diploma or GED 2 years of education beyond high school in college or technical school preferred Knowledge acquired through 1 to up to 3 years of similar work experience.
