Medical Office Receptionist

Position Summary
- The Medical Office Receptionist supports the front desk and daily administrative operations of Beacon’s outpatient behavioral health program
- This role creates a welcoming and professional experience for patients, families, visitors, providers, and team members
- The Medical Office Receptionist supports patient communication, scheduling, check-in and check-out, documentation, office organization, and coordination with the clinical and administrative team
Key Responsibilities
- Greet patients, families, visitors, and team members in a professional, welcoming, and service-oriented manner
- Answer, screen, and route incoming phone calls, messages, emails, and general inquiries
- Support patient scheduling, appointment confirmations, cancellations, and rescheduling
- Assist with patient check-in and check-out processes
- Collect, verify, scan, upload, and maintain patient forms, demographic information, insurance information, consents, and other required documentation
- Support intake, admissions, referral, and new patient coordination activities as needed
- Maintain accurate patient, office, and administrative records in accordance with company procedures
- Coordinate communication between patients, families, providers, clinical team members, and administrative staff
- Monitor front desk activity and escalate patient, scheduling, service, or operational concerns to the appropriate team member
- Maintain office supplies, forms, shared spaces, and general front desk organization
- Support billing, authorizations, insurance documentation, or related administrative workflows as assigned
- Prepare basic reports, correspondence, spreadsheets, or other administrative documents as needed
- Follow confidentiality, HIPAA, documentation, compliance, and company policy requirements
- Assist with special projects, office initiatives, and other duties as assigned
Qualifications
- High school diploma or equivalent required
- 1–2 years of receptionist, front desk, customer service, administrative, or medical office experience preferred
- Experience in behavioral health, healthcare, outpatient services, or a medical office setting preferred
- Strong communication, customer service, organization, and follow-through skills
- Ability to manage multiple priorities in a busy office environment
- Comfortable using computers, phone systems, email, scheduling tools, and electronic records systems
- Ability to handle confidential information with professionalism and discretion
- Dependable, detail-oriented, patient-focused, and team-oriented
Preferred Experience
- Experience supporting a behavioral health or healthcare office
- Familiarity with patient scheduling, intake paperwork, insurance information, or electronic health records
- Experience working with patients, families, providers, and referral partners
- Bilingual skills preferred, based on program and market needs
