OVERVIEW
The HR Representative plays a highly visible role within Libbey's Human Resources team. As one of the first faces associates, candidates, customers, vendors, and visitors encounter when entering our headquarters, this individual helps create a welcoming, professional, and engaging experience while serving as a trusted resource across the organization. Sitting within the lobby of our Global Headquarters, this role has a unique opportunity to influence how people experience Libbey each day through their interactions, support, and stewardship of key workplace programs. This position owns and administers a variety of HR and workplace programs, supports onboarding and offboarding activities, coordinates headquarters workplace operations, and partners closely with HRBPs and cross-functional teams to deliver exceptional associate experience.
This role is ideal for an individual looking to build a career in Human Resources. RESPONSIBILITIES
- Workplace & Facilities Ownership
- Coordinate headquarters workplace operations and facilities-related needs.
- Manage relationships with vendors and service providers.
- Coordinate maintenance requests and follow through to resolution.
- Ensure cafƩs, resource rooms, conference rooms, and common areas remain organized, stocked, and presentation-ready.
- Conduct routine office walkthroughs to identify workplace, appearance, and safety needs.
- Support office engagement activities and workplace improvement initiatives.
- Front Desk & Workplace Programs
- Serve as the primary point of contact for visitors, candidates, customers, vendors, and associates entering headquarters.
- Manage front desk operations and create a positive first impression of Libbey.
- Administer associate and visitor badge programs.
- Own the company parking program, including setup, maintenance, and issue resolution.
- Coordinate mail, package deliveries, courier services, and workplace resources.
- HR Program Administration
- Own and administer assigned HR and workplace programs.
- Administer the corporate American Express card program.
- Process department invoices, vendor payments, and purchase requests.
- Coordinate associate recognition and engagement programs.
- Maintain HR records, documentation, and reporting requirements.
- Support audits, compliance activities, and process administration
- Onboarding, Offboarding & HR Support
- Coordinate onboarding and offboarding activities across the organization.
- Partner with HRBPs, hiring managers, Payroll, IT, and Facilities to ensure a seamless transition experience.
- Prepare onboarding materials, workspace readiness, badges, and new hire logistics.
- Support associate lifecycle administration, benefits, payroll, and other HR processes as needed.
- Serve as a resource for associate questions while maintaining confidentiality and professionalism.
- Continuous Improvement & Special Projects
- Identify opportunities to streamline, standardize, automate, and improve HR and workplace processes.
- Create and maintain process documentation, job aids, and tools.
- Take ownership of undefined or underdeveloped processes and establish sustainable solutions.
- Support cross-functional projects, workplace initiatives, and special HR projects as assigned.
- Lead, influence and empower the organization to fulfill our purpose (living our legacy, shaping our future, and winning as one).

REQUIREMENTS & QUALIFICATIONS
- Bachelorās degree in human resources, Business or other adjacent area of study is required
- 0-3 years of experience in human resources Ā
- Demonstrated ability to manage multiple priorities while maintaining a high level of organization, accuracy, and attention to detail.
- Strong interpersonal, written, and verbal communication skills with the ability to build relationships across all levels of the organization.
- Proactive mindset with a passion for continuous improvement, process optimization, and creating structure where it does not exist.
- Ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment.

ADDITIONAL DETAILS
- This position will report to a member of the HR Leadership Team.
- This position will be an individual contributor (no direct reports) but will have a significant level of access, influence and collaboration with HR peers / team members, as well as with associates and leaders across the business.
- This position is onsite with flexibility (in office 4-5 days based upon business needs)
- Work Location & Travel:
- This position will support and work within our corporate office located in Toledo, Ohio, but may also support work at our manufacturing facility in the greater Toledo area, and potentially infrequent support or travel to our distribution sites in Texas (outside of Toledo travel = less than 5%).
