General Summary: 

The Risk Management - Legal Assistant works on various medical office risk management initiatives.

Works under the supervision of the Director of Compliance and Supervisor of Health Safety Risk

 

Principal Duties & Responsibilities: 

      Works with the administrative staff to ensure timely completion of assigned projects and reporting.

  1. Maintain malpractice case file tracking
  2. Responsible for the extraction of necessary medical records for malpractice cases
  3. Responsible for coordination of requested/necessary information to defense attorney
  4. Maintain all case documentation/information in applicable case file folder
  5. Assists Director of Legal Services
  6. Customer/Patient Complaints- Investigates, evaluates, and responds to customer complaints concerning all aspects of service and care delivery of the organization. Manages the response to patient complaints in collaboration with appropriate department managers and physicians with a focus on service recovery. Records all complaints and reports in the RM software.
  7. Patient/Employee Events- Reviews and investigates all event reports; recommends corrective action based on individual reports or trends. Establishes methods, policies and protocols to avoid, reduce and minimize risks. Track employee needle sticks and report to Human Resources. Track events and reports quarterly to the committee.
  8. Perform medical office assessments/facility safety audits using the audit tool to determine compliance with established thresholds. Computes and reports results in the RM software.
  9. Patient Satisfaction Survey-maintains software files of all providers and office locations to enable accurate deployment of patient satisfaction surveys. Maintain results in RM software to provide provider/department result reports.
  10. Set-up and management of the RM software applications. Provide necessary reporting per office/department of department activities. 
  11. Keeps immediate supervisor informed of work progress and any issues.


Other Essential Duties May Include (but are not limited to):

  1. Attend meetings and provide reports through minutes of the discussions and outcomes.
  2. Assist with updates to Toledo Clinic policies and procedures

 

Knowledge, Skills & Abilities Required: 

 

Required:

- Minimum 3 years in clerical, legal and analytic experience.

- Ability to present information clearly and concisely, including reports, business correspondence, and
 procedure manuals.
 - Maintains a current working knowledge of various PC software applications; must be proficient in
 Microsoft Excel, with the ability to develop spreadsheets for presentation and analysis, as well
 as PowerPoint , Word and other presentation programs.

- Self-starter able to work with minimal supervision (after appropriate orientation).

- Capable of multi-tasking within varying clinical departments and offices to compile information.

- Self-directed and can work autonomously.

- Possesses strength in communication skills, detail orientation and follow-through.

- Well organized.

- Learn and maintain a working knowledge of corporate EMR and Practice Management Systems, 
 including all new systems implemented.

- Previous Medical office, legal assistant or risk management experience

- Valid State of Ohio Driver License
