About the position

The Fleet Coordinator supports the network by ensuring maintenance and equipment data is accurate, complete, and current. This role is responsible for maintaining TMW maintenance-system records, processing and reconciling third-party maintenance invoices, and keeping equipment information up to date. The ideal candidate is detail-oriented, organized, and has strong communication skills.

What you’ll be doing

  • Maintains complete and accurate vehicle maintenance records within the fleet management system, including repair history, mileage, service dates, and asset details. 
  • Supports fleet preventative-maintenance programs through accurate invoice tracking and timely documentation of completed services. 
  • Manages warrantable repairs to ensure maximum recovery with minimal downtime.
  • Identifies and resolves invoice discrepancies, duplicate charges, missing documentation, incorrect coding, and unauthorized repairs with vendors and internal stakeholders. 
  • Communicates professionally with repair facilities, dealerships, vendors, accounting, operations, and leadership to obtain information and resolve issues. 
  • Initiates and implements campaigns that improve safety and efficiency.
  • Participates in continuous-improvement initiatives focused on reducing invoice cycle time, improving first-pass accuracy, and minimizing manual rework.
