Reporting to the Head of Buildings, the Buildings Manager will take responsibility for the day-to-day management, maintenance and safety of our theatre buildings and offices.

 

Key Responsibilities include –

 

  • Overseeing the maintenance, repair of all buildings and systems
  • Manage PPM and Reactive works
  • Management of the in-house buildings team
  • Act as primary contact for contractors and service providers


We are seeking -

 

  • Proven experience in buildings or facilities management (preferably in a theatre, arts or live events environment)
  • Excellent problem-solving skills and ability to work under pressure
  • Strong organisational and communication skills and project management experience
  • Practical hands-on approach with excellent technical understanding of buildings and their systems.


Terms of Employment - 


Contract:          Full Time, Permanent: 40hrs per week Monday-Friday, 8-4, however you would be expected to work outside of these hours as required by the needs of the business.

 

Place of work:  Based at Nimax Head Office, but the company reserves the right to assign the post holder to work at any London theatre operated by Nimax Theatres on a temporary or permanent basis

About this role

 

Reporting to the Head of Buildings Management this role is primarily responsible for the maintenance, upkeep, renewal and upgrades of Nimax Theatres property portfolio.  This consists of six theatres, Head Office and subsidiary offices, all located in and around the West End.

 

This role includes the day-to-day organisation and management of the in-house maintenance department, ensuring that all works are carried out to the highest standards and that H&S and best practices are strictly adhered to.

 

 

Key duties and responsibilities

 

Strategy

 

  • Responsible for delivering the planned maintenance, and reactive responses across the property portfolio.
  • Line managing the in-house maintenance department, including the scheduling, and logging of tasks.
  • Alongside the Head of buildings be responsible for the production and reviewing of departmental RAMs
  • As is required develop a rolling plan for HVAC upgrade and replacement within yearly budgets with Head of Buildings
  • Work closely with the Buildings Administrator who will support the day-to-day operations of the department.

 

Small Works and Project Management

 

  • Manage small-scale projects as agreed with the Head of Buildings.
  • Working with Head of Buildings, oversee the coordination and facilitation of tactile ceiling inspections.
  • In conjunction with the Head of Buildings ensure any advisory work generated from ceiling inspections (both tactile and visual) is undertaken and completed within the recommended time frames.
  • Engage consultants and specialist contractors as is required.
  • Create and provide clear specifications for consultants and other specialists detailing the scope of work, timetable, and budget available.
  • Conduct comparative tender processes.
  • Where relevant, obtain all relevant Local Authority consents (Planning, Building Control, scaffolding licenses etc.)
  • Project manage assigned works, delivering them on time and to budget, notifying the Head of Buildings of any issues that may impact upon the look/quality, budget, or timing, together with recommendations solutions.
  • Ensure exceptional care and consideration is given to the resident production and audience during any period of work, ensuring detailed communication with all stakeholders.
  • Ensuring upon completion of work/project the relevant O&M information is collated, documented, and issued.
  • Conduct site inductions for new and existing contractors as and when required.
  • Conduct toolbox talks prior to works commencing as and when required.

 

Maintenance

 

  • Working with Theatre Managers and Technical HODs effectively manage the Nimax portfolio and its services on both a planned and reactive basis.
  • Together with the Theatre Manager and Head of Buildings, regularly review the fabric of the buildings (roofs, walls, elevations, windows, ceilings, voids etc.) and prepare reports on these findings. These reports should include solutions/improvements, time frames, indicative cost.
  • Undertake periodic audits to ensure tasks assigned to venues management are being completed, either by the in-house technical teams or by specialist contractors. Examples include weekly fire alarm/ sprinkler testing, cleaning of gutters, drainage.
  • Support the Theatre Managers and Technical HODs in ensuring compliance with maintenance schedules via specialist contractors and ensuring compliance with current regulations across the following areas:
    • Electromechanical installations (e.g., passenger lifts, platform lifts)
    • Electrical installations (emergency lighting, house lighting, and PAT testing)
    • HVAC systems (AHUs, ductwork, boilers, heating, AC, cooling)
    • Water (Supply, drainage, sprinklers, hygiene, drenchers, general plumbing, sump pumps)
    • Fire Safety (Alarms, suppression systems, extinguishing systems)
  • In conjunction with the Head of Buildings undertake regular valuation reviews with contractors, to ensure relevance, compliance, and value.
  • Décor, fixtures, and fittings – together with relevant theatre manager and technical staff take responsibility for the presentation of each theatre and office premises arranging for re-decoration as required. Always consulting with the Head of Buildings and CEO on all interior design matters
  • Ensure all works undertaken comply with all current legislation and regulations, including theatre licensing.

 

Maintenance Team, contractors, sub-contractors

 

  • Line manage the maintenance team, scheduling planned work in advance with the team, setting clear targets, and ensuring satisfactory completion.
  • Hold regular meetings with the team members.
  • Monitor performance of the team and report the findings to the Head of Buildings in a timely manner.
  • In conjunction with the Buildings Administrator maintain the Company’s schedule of approved contractors ensuring all safety and insurance documentation is current and up to date
  • In conjunction with Head of Buildings ensure that all new contractors are adequately vetted in advance of any works being contracted.
  • Develop and maintain good working relationships with the company’s approved contractors.

 

Administration

 

  • Seek prior authorisation for expenditure in line with Nimax policies.
  • Working with Buildings Administrator, keep accurate records and ensure all certification is received in a timely manner
  • Process purchase orders and invoices and goods received notices in line with Nimax purchasing policies.
  • Read all relevant condition reports lodged on the Blue Lemon H&S systems.
  • Complete online training modules within Blue Lemon as is identified on the TNA for the Buildings Manager role.
  • Ensure the buildings diary is kept up to date with all key works and where line managed staff are allocated throughout the week.

 

General

 

  • To be responsible for identifying and undertaking training for the buildings team. This will include working with operations team and ensuring the yearly TNA (training needs analysis) is updated
  • To always act in the best interests of Nimax Theatres Ltd and in line with all company policies
  • Develop and maintain good working relationships with neighbouring properties and the wider community in general
  • Attend the weekly buildings meeting at Head Office.
  • Seek prior approval from the Head of Buildings for any overtime worked on weekends.
  • To undertake any other duty commensurate with the level of post as may be required by the Head of Buildings, Operations Director or CEO

Person specification


Essential

  • Proven experience in a similar role
  • High level of flexibility and commitment to work outside of office hours to support the business needs
  • Thorough understanding of planned building maintenance including mechanical and electrical systems
  • Experience to prioritise work and keep to deadlines
  • Experience and ability to be aware of legislation changes and updates, ensuring that works reflect changes
  • Ability to work under pressure
  • Computer skills including the Microsoft 365 package and the ability to read technical drawings
  • Experience of project management from inception to completion
  • IOSH Managing safely or similar
  • Able and willing to work outside normal business hours, including on weekends, when required

 

Desirable

  • Relevant Construction, Technical M&E or Built Environment qualification or equivalent.
  • Experience of working in a live entertainment
  • Good knowledge of SFG 20 and CIBSE Guide M
  • Track record in project Health and Safety including CDM
  • Experience of working on listed buildings
  • Previous experience of procurement of contracts, tender processes
