Summary:

 

Under the direction of the Associate Director of Human Resources, the Personnel Aide is responsible for supporting the daily operational, facilities, and administrative needs of the Human Resources Department. This position serves as the primary liaison for building operations, office maintenance, and Human Resources events and meetings. The Assistant ensures that Human Resources' facilities, equipment, and workspaces are maintained in a safe, organized, and efficient manner while providing logistical support for departmental programs, meetings, and special events.

 

Essential Duties and Responsibilities:

 

Human Resources Events and Meeting Support

- Serve as the primary point of contact for Human Resources event planning logistics in coordination with HR Staff, including setup, support, breakdown, and cleanup activities.

- Coordinate room configurations, equipment setup, signage, catering arrangements, and other logistical requirements for meetings and events.

- Support onboarding sessions, training programs, employee recognition events, and other departmental initiatives.

- Ensure meeting and event spaces are properly prepared and restored following use.

- Assist with other University events, as needed.

 

Kuser Mansion Building Liaison Responsibilities

- Serve as the Human Resources building liaison for meetings and events hosted at Kuser Mansion.

- Coordinate building access, room reservations, and facility accommodations for staff, guests, and meeting participants.

- Provide on-site support during meetings, trainings, and special events.

- Assist as needed with work location requests, operational concerns, and facility-related inquiries from staff and visitors.

- Will work in conjunction with facilities personnel on any minor building or operational needs such as identifying any safety or operational concerns, maintenance of office equipment/furniture, moves and organization.

- Serve as a resource for Human Resources staff regarding facility-related requests and concerns.

 

Administrative and Operational Support

- Receive, sort, scan, and distribute incoming Human Resources mail and correspondence in a timely and confidential manner.

- Maintain inventory of office, meeting, and event supplies and coordinate replenishment as needed.

- Operate a company vehicle to pick up and deliver supplies, materials, equipment, and other items related to departmental operations.

- Assist with recordkeeping, document management, and other administrative functions as assigned.

- Support special projects and operational initiatives within the Human Resources Department.

This position is designated as confidential and requires access to sensitive personnel, labor relations, and departmental information. The candidate is expected to maintain strict confidentiality and exercise discretion in all aspects of the position.

 

Knowledge, Skills, and Abilities:


- Knowledge of basic building maintenance and office operations.

- Ability to identify and address routine facility and equipment issues.

- Strong organizational and event coordination skills.

- Ability to prioritize multiple assignments and meet deadlines.

- Strong customer service and interpersonal skills.

- Ability to work independently and exercise sound judgment.

- Ability to maintain confidentiality and handle sensitive information appropriately.

- Proficiency with standard office technology and software applications.

- Ability to lift, move, and transport office equipment, furniture, and supplies as required.


Requirements:


Education: Completion of sixty (60) semester hour credits from an accredited college or university.


NOTE: Applicants who do not possess the required education may substitute experience in clerical/technical work requiring the application of rules, regulations, policies, and procedures on a year-for-year basis with thirty (30) semester hour credits being equal to one (1) year of experience.


License: Appointees will be required to possess a driver’s license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.


Pursuant to N.J.S.A. 52: 14-7 (L. 2011, Chapter 70), also known as the "New Jersey First Act," which became effective September 1, 2011, all persons newly hired by the College/New Jersey State Library on or after that date shall have one year from the date of employment to establish, and then maintain, principal residence in the State of New Jersey. Employees hired prior to September 1, 2011, who transfer from within the University/New Jersey State Library, or from another State of New Jersey appointing authority without a break in service greater than 7 days but who reside outside of the State of New Jersey, are not required to change their principal residence to New Jersey in order to comply with the Act.
