Superb Flooring & Design is seeking an organized, detail-oriented Operations Administrative Coordinator to join our operations team. This position provides administrative and organizational support to the operations department while helping ensure jobs, schedules, orders, documentation, and internal processes are accurate and up to date.
The ideal candidate is highly organized, comfortable working with multiple systems, and able to manage detailed administrative responsibilities in a fast-paced environment. This position will work closely with Operations, Sales, Purchasing, Warehouse, Service, and Accounting to help keep projects and internal processes moving efficiently.
Schedule & Compensation
- Full-time, salaried position
- Typical schedule: Monday through Friday, 7:00 AM – 4:00 PM
- Salary: $52,000 per year
Responsibilities
Administrative & Operations Support
- Provide day-to-day administrative support to the Operations department.
- Maintain accurate and complete job information, documentation, and records.
- Review orders and job information for accuracy and completeness.
- Enter, update, and maintain information within RFMS and other company systems.
- Prepare reports, spreadsheets, status updates, and other operational documentation.
- Monitor open jobs and follow up on outstanding items to ensure information is current.
- Maintain organized electronic and physical files.
Scheduling & Job Coordination
- Assist with maintaining installation schedules and coordinating schedule changes.
- Communicate scheduling information to installers, subcontractors, and internal departments.
- Monitor upcoming installations to ensure required information and materials are in place.
- Identify scheduling or job-related issues and bring them to the appropriate manager's attention.
- Assist with service and warranty scheduling and administrative follow-up as needed.
Customer & Installer Support
- Provide professional communication to customers regarding scheduling and administrative matters when needed.
- Assist with installer and subcontractor communication and documentation.
- Help resolve routine administrative issues and escalate more complex concerns to management.
Qualifications
- Previous flooring industry experience is required.
- Administrative or operations experience is strongly preferred.
- Experience using RFMS is preferred.
- Strong computer skills and proficiency with Microsoft Office, particularly Excel and Outlook.
- Excellent organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong follow-up and problem-solving skills.
- Ability to work independently while also supporting a team.
- Professional, dependable, and comfortable working in a fast-paced environment.
