Working in collaboration with the Human Resources Director, and the HR and Payroll team, the Human Resources Coordinator helps create a positive Ambassador experience through recruiting, onboarding, training, employee engagement, HR administration, and compliance support. This role serves as a trusted resource for Ambassadors and managers while helping foster a culture that reflects the magic of Martis Camp.

WHAT YOU'LL DO

TALENT ACQUISITION, ONBOARDING, & TRAINING

  • Coordinate onboarding, orientation, training, and compliance programs for new, returning, and current Ambassadors.
  • Facilitate engaging new hire orientations, training sessions, and property tours in English and Spanish.
  • Support recruitment activities including job postings, candidate communications, interview scheduling, job fairs, and onboarding logistics.
  • Assist with high-volume seasonal hiring efforts across multiple departments.
  • Process I-9 verifications, employment documentation, and onboarding records.
  • Support administration of the J-1 seasonal employee program.
  • Partner with the HR Director on Ambassador development, leadership development, and ESL programs.

SYSTEMS DATA ENTRY, RECORDS MANAGEMENT, AND BENEFITS 

  • Maintain detailed records in UKG, the Human Resources Information System (HRIS) with a high level of efficiency and accuracy.
  • Manage high-volume HRIS processing and data maintenance during peak seasonal staffing periods.
  • Handle administrative duties for the HR department involving data entry and the validation and verification of confidential information.
  • Perform system audits, run and review reports, and update information as needed.
  • Audit and accurately maintain all records, consistency in processes, and policies as required by law.
  • Maintain electronic personnel records and ensure timely scanning, filing, and document retention compliance.
  • Assist with all leave administration and tracking as well as other company benefit programs.
  • Serve as a benefits liaison with insurance brokers.
  • Help to reconcile the HRIS system during open enrollment.
  • Help with the development of health and wellness programs, wellness fair, and other voluntary benefits.
  • Manage own timecard submissions with timeliness, integrity and accuracy.

ASSIST WITH DAY TO DAY HR OPERATIONS 

  • Deliver exceptional customer service and professional communication in person, by phone, and via email; bilingual Spanish/English preferred.
  • Support managers and supervisors with hiring, onboarding, and interpretation of company policies and procedures.
  • Serve as the first point of contact for HR visitors, providing a welcoming experience consistent with Martis Camp standards and communicating messages to the HR team and Director.
  • Respond to Ambassador and manager inquiries, escalating all complex or sensitive matters to the HR Director.
  • Provide support to the HR Director and related HR projects, meetings, initiatives, and departmental functions as assigned.
  • Maintain current knowledge of federal, state, and local employment laws to support compliance efforts.
  • Assist with updates and publication of HR policies, procedures, the Ambassador Handbook, and related communications.
  • Pursue professional development opportunities to enhance HR knowledge and effectiveness.
  • Foster strong, collaborative communication with the HR Director and HR team.
  • Support workplace safety and contribute to the achievement of Martis Camp's Mission, Vision, and Core Values.
  • Perform other duties as assigned.

AMBASSADOR RECOGNITION PROGRAMS & EVENTS

  • Maintain records in the Work Tango Ambassador incentive and rewards system.
  • Support and participate in all Ambassador recognition programs, HR meetings, and special events.
  • Produce, post, and distribute special event and recognition materials.
  • Award recognition points and facilitate recognition.
  • Foster integration with Work Tango with UKG.

SAFETY, WORKERS' COMPENSATION, APPROVED GUESTS & DRIVERS

  • Report all workers’ compensation claims within the required timeframe and act as a liaison between the manager and the ambassador when returning to work.
  • Modernize the claims reporting and case management process. Identify opportunities to improve workers' compensation reporting processes and case management efficiency.
  • Manage, track, organize accident forms and scan case files in preparation for OSHA 300 annual report.
  • In collaboration with the HR Director, facilitate a Martis Camp safety culture, participate in the safety committee, and assist with departmental training and documentation.
  • Help with the coordination of car pass security and the on-going and up-to-date driver insurance list.

WHAT WE ARE LOOKING FOR:

  • Bachelor's degree in Human Resources, Business, Communications, or a related field preferred.
  • Two years of HR, recruiting, hospitality, customer service, administrative, payroll, or related experience preferred.
  • Experience working in a hospitality, resort, club, or service-focused environment is a plus.
  • Experience with HRIS systems; UKG experience preferred.
  • Bilingual English/Spanish strongly preferred.
  • SHRM-CP, PHR, or other HR certification is a plus, or a desire to pursue certification withing two years.

PHYSICAL REQUIREMENTS:

  • Ability to communicate effectively in a collaborative work environment utilizing various technologies such as telephone, computer, web, voice, teleconferencing, e-mail, etc.
  • Ability to lead standing, walking and shuttle tours, onboarding and orientations at high altitudes for extended periods of time.
  • Ability to sit, stand, walk, and move throughout event venues and amenities.
  • Maintains flexibility to work a varied schedule, including occasional evenings, weekends, and extended hours, to meet the demands of seasonal operations, Ambassador programs, and key organizational initiatives.
  • Ability to lift 20 lbs.
