Position Summary

The Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff while providing exceptional customer service in a professional and welcoming manner. This position is responsible for operating the facility's front desk, answering telephones, assisting the Business Office with basic billing functions, and providing administrative support to ensure efficient daily operations.


Essential Duties and Responsibilities

  • Greet residents, families, visitors, vendors, and staff in a courteous, professional, and respectful manner.
  • Answer incoming telephone calls promptly and courteously, direct calls appropriately, take accurate messages, and communicate messages in a timely manner.
  • Provide administrative and clerical support to the Accounts Manager, Business Office, and Administrator as needed.
  • Assist with basic billing functions in accordance with facility policies and procedures.
  • Generate and submit insurance claims accurately and within established deadlines.
  • Review and scrub claims prior to submission to identify and correct errors, reducing the need for claim resubmissions.
  • Perform insurance carrier follow-up to monitor claim status, resolve claim issues, and facilitate timely reimbursement.
  • Accurately post and process payments, adjustments, and other financial transactions within the billing system.
  • Prepare and distribute patient invoices while providing continued billing support to residents, responsible parties, and the Business Office.
  • Assist with collection agency transfer services in accordance with facility policies and corporate procedures.
  • Generate customizable reports that provide real-time data regarding billing performance, reimbursement trends, accounts receivable, and other operational metrics as requested.
  • Assist with insurance carrier credentialing processes as assigned.
  • Provide support with medical coding functions specific to the services provided by the facility, as directed.
  • Assist with medical transcription duties when applicable.
  • Verify insurance eligibility and benefits prior to services when required.
  • Schedule resident appointments as directed by the interdisciplinary team or Business Office.
  • Coordinate and provide appointment reminder calls or notifications to residents, responsible parties, or healthcare providers as appropriate.
  • Maintain accurate records, files, and documentation in accordance with facility policies and HIPAA regulations.
  • Protect the confidentiality of resident, employee, and facility information at all times.
  • Maintain a clean, organized, and professional reception area.
  • Demonstrate excellent customer service while fostering positive relationships with residents, families, visitors, physicians, vendors, and fellow employees.
  • Attend required facility meetings, in-services, and continuing education programs.
  • Comply with all federal, state, local, and facility policies regarding resident rights, confidentiality, HIPAA, infection prevention, workplace safety, and ethical business practices.
  • Perform other duties and responsibilities as assigned by the Administrator or designee.

  • Advanced administrative responsibilities may include:
  • Insurance carrier credentialing.
  • Medical coding specific to facility services.
  • Medical transcription.
  • Insurance eligibility verification.
  • Resident appointment scheduling.
  • Appointment reminder coordination.

None.

SUMMARY OF OCCUPATIONAL EXPOSURE:

Tasks and procedures performed by the employee involve risks classified by C.D.C. as Category III. (No contact with blood or other bodily fluids to which universal precautions apply, if regular duties are performed.)

OTHER CONSIDERATIONS AND REQUIREMENTS: Must be able to tolerate a high pace as typical for a nursing facility. Must be able to take and give instructions well and enjoy working with the elderly. Although employee is required to sit for prolonged periods of time, he/she must also be able to tolerate prolonged standing and walking.
