As the Clinic Receptionist, you’ll be one of the first friendly faces our participants, families, caregivers, and visitors see when they arrive. You’ll help create a welcoming, organized, and professional clinic environment while providing the administrative support that keeps daily operations running smoothly.


This position is ideal for someone who enjoys working with people, stays organized in a busy environment, and takes pride in providing excellent customer service. You’ll play an important role in helping our participants feel comfortable and supported throughout their clinic experience.


RESPONSIBILITIES: 

The following represents most of the duties performed by the position but is not meant to be all-inclusive or prevent other duties from being assigned when necessary:  

  • Answer clinic telephone calls promptly and professionally; forward calls and take accurate messages as appropriate. 
  • Coordinate and manage all participant arrivals and departures in a professional, orderly, and courteous manner. 
  • Escort or assist participants entering and exiting the clinic as needed to ensure safety and comfort. 
  • Route communications, inquiries, and requests to the appropriate departments or staff members. 
  • Notify appropriate departments and/or staff of vendor arrivals and deliveries. 
  • Maintain accurate and up-to-date documentation of participant check-ins and departures. 
  • Schedule in-house psychiatry appointments and post-hospital discharge follow-up appointments as directed. 
  • Contact participants and/or caregivers to provide appointment reminders and related clinic information. 
  • Clean and sanitize the receptionist counter and clinic waiting area surfaces at the end of each day and as needed throughout clinic operations. 
  • Maintain a clean, organized, and professional work area, including routine sanitation of clinic phones and shared equipment. 
  • Attend and actively participate in staff meetings, in-services, projects, and committees as assigned. 
  • Adhere to and support all facility policies, procedures, and operational standards. 
  • Perform assigned duties cooperatively and complete other related tasks as assigned by the supervisor. 

Requirements

CERTIFICATION, LICENSES, REGISTRATIONS:   

  • High school diploma or GED required. 
  • Possess CPR and basic first aid certification 

EDUCATION AND EXPERIENCE:  

  • High school diploma or equivalent required.  
  • Post-secondary education, vocational certification, associate degree, or some college coursework is preferred.  
  • A minimum of two years of experience working in a busy office environment is required, preferably in a healthcare, receptionist, or administrative support setting. 

KNOWLEDGE, SKILLS, and ABILITIES: 

  • Excellent interpersonal, written, and verbal communication skills. 
  • Strong typing skills with accuracy in spelling, punctuation, and grammar. 
  • Demonstrated discretion, sound judgment, strong organizational skills, and the ability to work independently. 
  • Intuitive, proactive, resourceful, and self-motivated with the ability to anticipate needs. 
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook. 
  • Ability to prioritize tasks effectively and function as a collaborative team member with a strong customer service orientation. 
  • Ability to always maintain strict confidentiality and exercise discretion. 
  • Consistently professional, positive, and cheerful demeanor. 

PHYSICAL REQUIREMENTS:  Requires constant hand grasp and finger dexterity; frequent sitting, standing, walking and repetitive leg and arm movements, Frequent bending, reaching forward and overhead, squatting and kneeling.  Ability to communicate verbally, with an excellent comprehension of the English language. 


WORK ENVIRONMENT:  The main work environment is in an office setting of a non-profit organization providing a variety of services to seniors and their families.  The activity level is high and the noise level is moderate.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the position.
