The Payroll and Benefits Coordinator is responsible for day-to-day operations including semi-monthly payroll, entering new hires into the payroll software, benefits and payroll-related billing, and reconciliation activities. This position provides support for processes and special projects while ensuring accuracy, confidentiality, and compliance with company policies. This position reports to the Director of Human Resources.


Supervisory Responsibilities

Payroll Processing and Employee Files

  • Review timecards for accuracy, track and enter necessary adjustments, prepare and process semi-monthly payroll.
  • Create, maintain, and audit employee personnel files and I-9 documentation.
  • Prepare payroll-related billings to properties and process associated cash receipts and deposits.
  • Process termination paperwork.


Benefits Administration

  • Reconcile monthly employee benefit invoices with internal benefits records.
  • Reconcile monthly LegalShield invoices.
  • Prepare monthly benefit billings to properties and process related cash receipts and deposits.
  • Record Insure Oklahoma subsidy deposits and prepare corresponding property invoices, cash receipts, and deposits.
  • Monitor new hire benefit enrollment in Employee Navigator, providing reminders and follow-up to ensure timely completion.
  • Assist with annual benefits open enrollment.


Administrative Responsibilities

  • Maintain and audit Employee Housing Addendum records.
  • Update and maintain the employee Date of Hire spreadsheet.
  • Update and maintain the Termination spreadsheet.
  • Assist with additional projects and duties as assigned.


Required Knowledge, Skills, and Abilities

  • Payroll processing experience required (preferably with Paychex)
  • Basic accounts payable and billing experience.
  • Experience reconciling invoices.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong analytical, problem-solving, and critical-thinking abilities.
  • High level of professionalism and discretion when handling confidential information.
  • Experience with Microsoft Office and/or Google Workspace.
  • Experience with HRIS systems such as BambooHR and Employee Navigator is preferred.


Education and Experience

  • Minimum of two (2) years of billing, reconciliations and related administrative experience required.
  • Experience with benefits administration and payroll processing is required.


Physical Requirements

  • Prolonged periods of sitting while working at a computer.
  • Ability to occasionally lift and carry office materials weighing up to 20 pounds.
  • Ability to communicate effectively in person, by telephone, and electronically.
