Position Overview
The Front Desk Administrative Assistant plays a key role in ensuring smooth daily operations by providing comprehensive administrative, clerical, and customer service support. This position serves as the first point of contact for staff and visitors and helps maintain an organized, professional office environment.
Key Responsibilities
Handle sensitive and confidential information with discretion.
Manage calendars, schedule meetings, and coordinate appointments.
Perform accurate data entry and maintain organized digital and physical filing systems.
Greet and assist visitors and staff in a courteous, professional manner.
Answer and route incoming phone calls; take detailed messages as needed.
Monitor, order, and restock office and breakroom supplies.
Support leadership with written communication, project coordination, and administrative tasks.
Assist with preparing presentations, spreadsheets, and internal documents.
Maintain a clean, organized, and professional front desk and office environment.
Sort, distribute, and process daily incoming and outgoing mail.
Assist with shipping, packaging, and courier needs.
Qualifications
High School Diploma required; Associate degree preferred.
Previous front desk or administrative experience strongly preferred.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Professional demeanor and presentation appropriate to a front-office environment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Familiarity with SharePoint preferred.
Physical Requirements
This role requires the ability to sit or stand for extended periods, operate standard office equipment, walk short distances, and occasionally lift or move items up to 20 pounds. Tasks may also involve bending, reaching, and organizing materials as needed.
