Typical Day in the Life
A typical day as an Administrative Assistant might include the following:
- Provides administrative support to partners and managers with integrity and professionalism.
- Coordinates department staff meetings, seminars and conference calls and records minutes as needed.
- Sets up new clients and maintains existing client data in the practice management system.
- Assists with proposal processing.
- Formats, copies and binds financial statements for partner to review and sign.
- Processes tax returns.
- Signs on behalf of partners and managers as delegated, his or her name to correspondence and other written documents and forms.
- Schedules appointments and makes travel arrangements.
- Composes and types routine correspondence including orders, memos, letters and reports.
- Performs miscellaneous scanning, filing, faxing and copying duties as needed.
- Reviews, sorts and routes incoming mail; distributes outgoing mail.
- Greets visiting clients and directs them to the correct person.
- Answers telephones and gives information to callers; routes calls to appropriate personnel.
- Orders and stocks office supplies.       Â
- Fills in at the front desk and provides other departments with administrative support as needed.
- Ensures timely and accurate performance on assigned projects.
- Maintains compliance with project budgets, turnaround times, and deadlines.
Who You Are
- You have a High School Diploma and 2 years of past administrative support experience.
- You thrive in a high-volume, fast-paced, work environment.
- You are a multi-tasking master, and there has never been a deadline you could not meet.
- You can quickly prioritize and organize your work to complete tasks of an immediate nature.
- You hold yourself to the highest professional standards and maintain strict client confidentiality.
- You are proficient in Microsoft Excel. Microsoft Word, Outlook, DocuSign, Teams and Adobe Acrobat. Power BI and Quickbooks experience is a plus.
- You are exceptionally detail-oriented with strong verbal and written communication skills - reviewing communications and fixing errors is a task you love!
- You love collaborating and contributing to being part of a team but also enjoy working alone with limited supervision.
- You will work overtime as needed.
- This position requires prolonged standing and sitting, some bending, stooping and stretching and the ability to lift up to 20 lbs.
