Get to Know Your Team: 

  • UT Health East Texas Physicians has 90 primary and specialty care clinics and eight urgent care centers in communities across the region. Affiliated with The University of Texas at Tyler School of Medicine, we provide top-tier education, innovative research, and residency programs training future medical leaders.

Responsibilities

  • Referrals are worked based on department protocols; see attached Visio documents outlining the workflow for internal, incoming, and outgoing referrals.
  • Works referrals 24 to 48 hours upon receipt; urgent referrals are worked within 2 hours or
  • the next business day.
  • WQ require orders to be authorized and scheduled when working referrals.
  • Work WQ assignment is based on need and can be very fluid every day.
  • Workflows are designed to be efficient and effective and must be adhered to ensure
  • continuity of care and meet the level of expectations of referring provider. See attached
  • Visio documents outlining expected workflow.
  • Meets department productivity standards determined by the type of work assigned.
  • Referral Coordinators are expected to work 80 referrals a day; work being defined as
  • transitioning the referral to its destination if it is outgoing or scheduling the patient with the
  • correct specialty/provider, acquiring an insurance authorization, and confirming the
  • information with the patient. Also to include but not limited to, adding a note about the
  • status of the referral or communication with the patient or provider’s office.
  • Work responsibilities include but not limited to authorizing referral with insurance,
  • scheduling patient with appropriate provider based on referred to provider, patient choice or recommendations from referral coordinator, documenting all appropriate/necessary information in referral to complete it.
  • Answers phones in a timely yet professional manner, to include your first name and a greeting appropriate to the time of day. Use the patient’s name as much as possible and thank them for calling when done.
  • Voice mail greeting is professional and customer focused. VM are to be returned within 24 hours and notes are updated in the referral.
  • Data entry of patient health information and demographics to include but not limited to, adding or updating insurance, updating patient demographics, address, emails, phone numbers etc.
  • Provide direction and assistance to all as needed
  • Scans or imports necessary information into patient documents.
  • Verifies insurance and obtains authorizations
  • Accurately documents patient records.
  • Maintains a constructive working relationship with phys

Qualifications

Job Requirements: 

  • High School diploma required
  • One year of clinical experience and health insurance knowledge
