The Operations Coordinator for RigUpATL supports the daily scheduling, dispatch, and administrative functions of RigUpATL's field operations. This role ensures crews, cranes, and equipment are properly assigned, documentation is accurate, and projects move efficiently from planning to execution. The ideal candidate is detail-oriented, organized, and capable of working in a fast-paced environment to facilitate smooth project execution and customer satisfaction.

Key Responsibilities:

  • Dispatch & Scheduling
    • Coordinate and schedule daily deployment of cranes, rigging crews, trucks, and equipment for all project sites.
    • Maintain the operations calendar, ensuring proper personnel, certifications, and equipment availability.
    • Communicate schedule updates, changes, and conflicts to field teams, project managers, and clients.
  • Operational Administration
    • Prepare, process, and organize work orders, permits, lift plans, job packets, and required project documentation.
    • Monitor work order completion for accuracy and completeness prior to billing or closeout.
    • Review and approve daily timecards for accuracy, proper cost-code usage, and adherence to company policies.
    • Maintain accurate records of equipment usage, inspections, certifications, maintenance schedules, and inventory levels.
    • Support job cost and project tracking by updating logs and internal systems.
  • Field Support & Coordination
    • Coordinate personnel assignments, mobilization plans, trucking, and logistical needs.
    • Track ongoing project progress and proactively assist in resolving scheduling or operational issues.
    • Communicate with clients, vendors, and internal teams to ensure jobs run smoothly and expectations are aligned.
    • Help ensure compliance with safety regulations, internal SOPs, and equipment-handling protocols.
    • Report safety concerns or field deviations to the appropriate manager immediately.
  • General Administrative Support
    • Assist with daily office and operations tasks to ensure efficient workflow.
    • Support leadership with ad-hoc reporting, documentation, and special projects.
    • Perform other duties as needed to support overall operational efficiency.
  • 2-4 years of experience in operations coordination, dispatch or administrative support in a similar industry.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively within a team as well as independently.
  • Proficient in Microsoft Office Suite and experience with project management tools.
  • Understanding of safety and compliance regulations in the industrial sector is a plus.
  • Strong problem-solving skills and ability to work under pressure to meet deadlines.
