About the Role

As a Job File Coordinator, you’ll serve as a key point of contact between customers, project managers, and the rest of our restoration team. You’ll help ensure that projects run smoothly — from documentation and estimates to communication and follow-up.

If you’re self-motivated, detail-oriented, and enjoy keeping things on track behind the scenes, you’ll thrive in this role.

Key Responsibilities
  • Serve as the primary liaison between customers, insurance representatives, and internal teams
  • Maintain clear, consistent communication with all project stakeholders
  • Oversee and monitor daily project progress, audits, and work-in-progress reports
  • Create and maintain job files, estimates, and documentation using industry software
  • Review and validate job site documentation for completeness and accuracy
  • Collaborate with Project Managers to ensure each project is properly documented from start to finish
  • Provide administrative and communication support across departments when needed
What You Bring
  • 1+ year of customer service and/or office administration experience
  • High school diploma or GED (preferred)
  • Strong attention to detail and ability to multitask effectively
  • Proficiency in Microsoft Office and other relevant computer applications
  • Excellent communication and organization skills
  • A positive, proactive attitude — ready to say “Yes” to challenges and teamwork
 Skills / Physical Demands / Competencies
  • This position is primarily sedentary in a fast-paced office environment
  • Some filing or light lifting may be required (e.g., opening cabinets, organizing files)
  • Must be able to pass a background check (subject to applicable laws)
