Roles and Responsibilities 

 Documentation Management: 

  • Prepare and verify critical trade documents, including Commercial Invoices, Packing Lists, Bills of Lading (BL), and Airway Bills. 
  • Handle specialized paperwork such as Certificates of Origin, Letters of Credit (LC), and Shipping Bills. 
  • Maintain accurate electronic and physical records for audit and statutory purposes. 


Regulatory Compliance: 
  • Ensure all activities adhere to DGFT (Directorate General of Foreign Trade), Customs, RBI, and FEMA guidelines. 
  • Manage export incentive schemes such as Duty Drawback, MEIS/RODTEP, and Advance Licenses. 
  • Classify goods according to the Harmonized System (HSN) to determine correct tariffs and duties. 

Logistics & Coordination: 

  • Liaise with Custom House Agents (CHA), freight forwarders, and shipping lines for smooth cargo clearance. 
  • Track real-time shipment status and proactively resolve delays or logistical bottlenecks. 
  • Negotiate freight rates and select the most efficient transport modes (sea, air, or land) to optimize costs. 

Stakeholder Communication: 

  • Coordinate with internal departments like Finance, Sales, and Procurement to align shipment schedules with inventory needs. 
  • Communicate directly with overseas clients and suppliers regarding shipment updates and documentation requirements. 

Reporting & MIS: 

  • Prepare periodic Management Information System (MIS) reports detailing shipment costs, performance metrics (KPIs), and compliance status.
