Position Summary

The Executive Assistant provides high-level administrative, operational, and organizational support to the CEO and COO. This role ensures efficient coordination of schedules, meetings, communication flow, project organization, and documentation management across the agency. The Executive Assistant works closely with leadership to support daily operations and enhance organizational efficiency.

This position is ideal for an individual with a background in counseling, either currently enrolled in a graduate program or holding licensure such as LGPC, LCPC, or LMSW ,who seeks to gain administrative and operational experience within a behavioral health environment.

Primary Responsibilities

 Executive Support

  • Manage and coordinate daily calendars for the CEO and COO.
     
     
  • Schedule internal and external meetings with staff, partners, and community stakeholders.
     
     
  • Prepare agendas, send invitations, book meeting rooms, and coordinate Zoom/Teams links.
     
     
  • Organize leadership documents, reports, and materials to support decision-making.
     
     
  • Track follow-up items and provide reminders to ensure timely completion.
     
     

 

 

Administrative & Operational Coordination

  • Maintain digital organization systems, including OneDrive folders, shared drives, and executive files.
     
     
  • Assist with preparing documents needed for compliance reviews, accreditation efforts, or administrative audits.
     
     
  • Support workflow optimization through process documentation and updates to administrative procedures.
     
     
  • Prepare materials for leadership meetings, including summaries, outlines, or structured talking points.

 Project Coordination

  • Support coordination of leadership-hosted meetings, trainings, or organizational events.
     
     
  • Assist in managing timelines and tasks related to executive-level projects and organizational initiatives.
     
     
  • Support communication across departments to ensure project alignment and deliverables.
     
     
  • Maintain organized documentation for ongoing initiatives and leadership priorities.

 Communication & Writing Support

  • Draft internal communications, memos, staff updates, and announcements for leadership review.
     
     
  • Prepare summaries or written briefs following executive meetings.
     
     
  • Serve as a communication liaison across departments as instructed by leadership.

Qualifications

Required

  • Strong communication and writing skills.
     
     
  • Advanced organizational and time-management skills.
     
     
  • Proficiency with Microsoft Office and OneDrive.
     
     
  • Ability to handle confidential information and navigate a behavioral health setting.
     
     
  • Ability to manage multiple tasks with professionalism and consistency.
     
     

Preferred

  • Experience working in behavioral health settings (PHP, OMHC, PRP, SE, SUD programs).
     
     
  • Experience supporting leadership, administration, or operations.
     
     
  • Familiarity with Carelon, CARF standards, or clinical workflow processes.
     
     
  • Enrollment in a graduate counseling program or active licensure (LGPC, LCPC, LMSW).
     
     

Work Schedule & Environment

  • Full-time, in-office position (no remote option).
     
     
  • Monday–Friday, 9:00 AM – 5:00 PM, with flexibility for occasional meetings or events.

Salary Range Recommendation

$60,000 – $70,000 annually
