The Parks and Recreation Department is seeking a dependable, organized, and community‑focused Receptionist/Administrative Secretary to support daily operations. This position serves as the first point of contact for residents and visitors, requiring strong multitasking abilities, excellent communication skills, and a proactive approach to handling administrative workflows
Primary Responsibilities (include but are not limited to):
- Welcome and assist visitors, residents, and guests; determine the purpose of the visit and direct or escort individuals to the appropriate department. • Provide courteous, helpful customer service and positive community interaction in person, by phone, and via email by answering and screening incoming calls as well as retrieving and responding to voicemail messages and online inquiries. • Manage daily administrative tasks including correspondence, recordkeeping, petty cash, data entry, filing, and maintaining organized office procedures. • Track and follow departmental procedures including purchase orders, permit processing, payment handling, and workflow documentation. • Retrieve, sort, and distribute mail, documents, packages, and courier deliveries; process mail through the postage machine and handle drop‑offs/pickups at the post office as needed. • Coordinate with the Public Works Department to issue / administer bulk permits when required. • Maintain and troubleshoot postage machine supplies and functionality. • Support departmental projects, program preparation, and community event coordination and staffing as assigned. • Perform related duties to ensure smooth, efficient, and welcoming office, program and event operations.

Requirements: High school diploma or equivalent. Prior administrative, receptionist, or secretarial experience. Ability to multitask effectively and pleasantly in a busy, public-facing environment. Proficiency in Microsoft 365. Experience with publishing software and recreation management software preferred. Strong organizational skills with the ability to track procedures and manage multiple ongoing tasks. Applicants may be subject to skills testing.
