About the Role

We are looking for an organized and dependable Payroll Clerk & Administrative Assistant to support our payroll processing and daily office operations. This dual-function role is ideal for someone who enjoys variety, has strong attention to detail, and can juggle numbers-focused tasks alongside general administrative duties. You'll play a key part in keeping payroll accurate and the office running smoothly.

Key Responsibilities

Payroll Duties

  • Collect, verify, and enter employee timesheets and attendance records
  • Assist with processing bi-weekly/monthly payroll
  • Calculate hours worked, overtime, and paid time off
  • Maintain accurate payroll files and employee records
  • Help process new hire paperwork and payroll setup
  • Respond to basic employee questions about pay and deductions
  • Assist with filing payroll tax documents and year-end forms (W-2s, etc.)
  • Support payroll audits and reporting as needed

Administrative Duties

  • Answer phones, greet visitors, and manage front-office correspondence
  • Maintain office supplies inventory and place orders as needed
  • Schedule meetings, appointments, and manage calendars
  • Prepare and organize documents, reports, and correspondence
  • Maintain both physical and digital filing systems
  • Assist with onboarding logistics for new employees
  • Support other departments with administrative tasks as needed
  • Handle incoming/outgoing mail and shipments

Requirements

 Qualifications

  • High school diploma required; Associate's degree preferred
  • 1–2 years of experience in payroll, bookkeeping, or administrative support
  • Basic understanding of payroll processes and terminology
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Familiarity with payroll or HRIS software (e.g., ADP, Paychex, Gusto) a plus
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Discretion in handling confidential information
