Rebound is hiring a full-time Surgery Scheduling Coordinator to support our Neurosurgery team in Vancouver, WA. 

The Surgery Scheduling Coordinator is responsible for coordinating and scheduling surgical procedures, as well as related pre-operative and post-operative appointments. This role works closely with physicians, patients, clinical teams, surgical facilities, and vendor representatives to ensure accurate scheduling, clear communication, and efficient workflow across multiple service lines.

Key Responsibilities

  • Coordinate and schedule surgical procedures in clinic and by phone across multiple surgical facilities
  • Manage provider surgery schedules, ensuring block time is optimized and filled appropriately
  • Communicate surgery dates, times, and pre-operative instructions to patients
  • Educate patients on pre-operative testing requirements, including labs, imaging, EKGs, and medical clearance
  • Review surgical case orders to ensure accuracy and completeness within the EMR
  • Obtain lab reports, dictations, imaging, and other supporting documentation as needed
  • Manage surgery reschedules and cancellations, ensuring reassignment of patients to maximize surgical block utilization
  • Coordinate add-on surgical cases as required
  • Manage workflow using In Basket messaging and email, ensuring timely responses throughout the workday
  • Provide patient education materials and assist with applications and patient instructions
  • Document consistently and accurately according to established protocols
  • Answer surgery scheduling phone calls and coordinate with outside facilities and vendors
  • Problem-solve scheduling conflicts with strong attention to detail and task prioritization
  • Maintain compliance with OSHA, HIPAA, and organizational policies
  • Attend required meetings, trainings, and in-services; participate on committees as requested
  • Maintain strict confidentiality at all times
  • Perform related duties as assigned

Qualifications

  • High School Diploma or GED required; Medical Terminology coursework preferred
  • 2–3 years of experience as a Surgery Coordinator or in a medical clinic environment preferred
    • Equivalent education and experience may be considered
  • Epic EMR experience preferred
  • Strong understanding of the healthcare and medical office environment
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to prioritize, organize, and manage multiple tasks in a fast-paced, changing environment
  • Demonstrated attention to detail and accuracy
  • Ability to remain calm and effective in urgent or high-pressure situations
  • Strong relationship-building skills with patients, providers, and clinical staff

Physical Requirements

  • Prolonged periods of sitting and computer use
  • Occasional bending, stooping, reaching, and stretching for files and supplies
  • Ability to lift up to 30 pounds occasionally
  • Manual dexterity required for keyboarding and operating standard office equipment
  • Ability to manage frequent interruptions and multiple demands
  • Occasional exposure to communicable diseases, medical preparations, and conditions common to a clinical environment
