Director of Facilities & FleetÂ
Position SummaryÂ
Reporting to the Chief Administration Officer (CAO), the Director of Facilities is accountable for the performance, safety, and long-term condition of all BGCSM facilities, fleet, and physical assets.Â
This role owns the organization’s maintenance system end-to-end—ensuring work is planned, prioritized, executed, and tracked across all sites. The Director leads both daily operations and long-range planning, ensuring facilities and vehicles consistently support high-quality programming without disruption.Â
Essential Duties & ResponsibilitiesÂ
Facility & Fleet PerformanceÂ
- Own execution of all maintenance work across facilities and fleet, including preventive, corrective, deferred, emergency, and capitalÂ
- Ensure all work is prioritized, completed on time, and fully documentedÂ
- Build and enforce preventive maintenance schedules that reduce failures and extend asset lifeÂ
- Maintain all building systems and vehicles to operating standards, including required testing and complianceÂ
- Ensure vehicles are safe, reliable, and program-ready at all timesÂ
Multi-Site OperationsÂ
- Oversee all facilities, including Clubhouses, school sites, administrative offices, and fleet operationsÂ
- Conduct regular inspections and ensure consistent standards across locationsÂ
- Ensure environments are safe, functional, and program-readyÂ
- Oversee custodial services, maintenance staff, and site-level coordinationÂ
Vendors & ProjectsÂ
- Select and manage vendors, ensuring quality, cost control, and on-time deliveryÂ
- Approve and track invoices against scope and budgetÂ
- Lead execution of repairs, upgrades, and facility projectsÂ
- Support planning and delivery of capital projectsÂ
Capital Planning & Asset ManagementÂ
- Maintain a complete asset and fleet inventory with lifecycle trackingÂ
- Identify and track deferred maintenance with clear prioritizationÂ
- Develop and manage a multi-year capital planÂ
- Recommend investments based on risk, usage, and long-term valueÂ
Safety, Compliance & RiskÂ
- Ensure compliance with all safety and regulatory requirements across facilities and fleetÂ
- Lead inspections and ensure timely correction of issuesÂ
- Support insurance coverage and claims related to facilities and vehiclesÂ
- Maintain documentation and readiness for audits and reviewsÂ
Budgeting & SystemsÂ
- Build and manage facility and fleet operating and capital budgetsÂ
- Track spending, identify trends, and adjust plans as neededÂ
- Maintain a reliable work order system with full visibility into status and completionÂ
- Establish and enforce standard operating proceduresÂ
LeadershipÂ
- Lead and manage the Facilities Manager and facilities functionÂ
- Manage the Board Facilities Committee and co-manage the Board Safety CommitteeÂ
- Set clear expectations and ensure accountability for executionÂ
- Partner effectively with site leaders and senior leadershipÂ
Requirements
- Bachelor’s degree in Facilities Management, Operations, Construction Management, Business Administration, or related field preferred; equivalent experience considered.
- 5–7+ years of facilities, fleet, or operations leadership experience required, preferably in a multi-site environment.
- Strong knowledge of maintenance systems, vendor management, capital planning, budgets, building systems, fleet operations, and regulatory compliance.
- Strong communication, organization, leadership, and problem-solving skills required.
- Valid driver’s license and ability to travel between sites required.
- Must currently reside, or be willing to relocate to our service area of Sonoma County.
