Legal Assistant (Intake & Scheduling)


Join a collaborative legal team where professionalism, exceptional client service, and attention to detail are valued. This position provides administrative and operational support to attorneys and legal staff while helping ensure the smooth day-to-day operation of the office. The ideal candidate enjoys a fast-paced environment, takes initiative, and is committed to delivering outstanding service to both clients and colleagues. This is a full-time, on-site position based in our Vero Beach, Florida office. 


 Primary Responsibilities:

  • Provide administrative support to attorneys and legal professionals.
  • Coordinate attorney schedules, consultations, meetings, and client communications. 
  • Conduct client intake interviews and gather information to facilitate attorney consultations. 
  • Prepare, format, proofread, and revise correspondence, legal documents, and other client materials. 
  • Assemble, organize, print, and prepare client files and closing/signing packets for meetings and document executions.
  • Maintain accurate electronic and physical client files using the firm's document management systems and established procedures. 
  • Handle sensitive client and firm information with the highest level of professionalism and confidentiality. 
  • Assist with additional administrative, reception, and office support projects as assigned.

Qualifications:

  • Prior experience supporting multiple attorneys in a law firm environment strongly preferred. 
  • Proficiency with Microsoft Office applications, including Word, Outlook, and Excel, along with PDF editing software required. 
  • Florida Notary Public commission is a plus. 
  • Experience using document management or legal practice management software is advantageous.
  • Strong keyboarding and document formatting skills. 
  • Ability to prioritize competing deadlines with minimal supervision. 
  • Excellent verbal and written communication skills. 
  • Exceptional attention to detail and organizational skills.
