 Summary

Responsible for coordinating patient services for surgeries. Maintains and manages physician’s surgical schedules and provides all administrative paperwork for surgical pre-authorization and medical clearances. Testing appointments are scheduled, all administrative paperwork is done, and follow-up appointments are made. Physician templates are monitored and modified as needed.

Responsibilities:

  • Patient Contact
    1. Schedule patients for surgical procedures, referrals, and medical clearances
    2. Handle all patient inquiries and phone calls regarding surgery and testing.
    3. Order home health for surgery patients as required.
    4. Communicate with PA (physician assistants) regarding surgery schedules.
  • Administrative
    1. Schedules patient services for surgeries, referrals, tests, post op appointments, pre-operative clearances, and follow-up appointments
    2. Maintain and update physician schedules accordingly.
    3. Schedule, confirm, cancel, and reschedule patient office appointments or surgical appointments.
    4. Act as a liaison between patient and physician regarding all surgical and testing inquiries.
    5. Monitor changes to physician schedules and keep practice management system updated to reflect changes.
    6. Manage all pre-operative testing and prepare all testing results for physician review.
    7. Provide the billing department with surgical charge tickets.
    8. Schedule meetings with reps with physicians for upcoming surgeries
    9. Schedules and obtains authorizations for Vocational Rehab.

Administrative Support:

 Duties and responsibilities may be added, deleted, or changed at any time at the discretion of the Administrator or the Board, formally or informally, either verbally or in writing.

Performance Standards:

  • Skilled at using computer.
  • Ability to examine documents for accuracy and completeness.
  • Ability to maintain organization of a multitude of tasks.
  • Ability to sort, organize, and file with attention to detail.
  • Ability to type information and complete tasks with detailed precision.
  • Skilled at communicating effectively and professionally with patients, staff, and business associates.
  • Maintains strictest confidentiality of patient information and other business practices.
  • Ability to document legibly and to spell medical terminology correctly.

Position Relationships

Does not supervise any other employees. Receives supervision from physician on clinical matters and office manager on administrative and all other matters.

Qualifications

  • High school diploma or GED.
  • Medical Terminology helpful.
  • Basic computer skills.
  • Two years medical experience in clinical or surgical coordination preferred.

Physical Requirements:

  • Requires sitting for long periods of time with frequent standing, walking and bending required.
  • Must be able to view and enter data into the computer for extended periods. Must be able to communicate via the telephone. 
  • Must have dependable transportation.
