The Licensing Assistant will be responsible for coordinating and supporting efforts to ensure that Southern Trust Mortgage, LLC remains current and in good standing with all state licensing agencies.  The Licensing Assistant assists the Human Resources Department in all aspects of licensing Mortgage Loan Officers and Loan Officer Assistants, on behalf of Southern Trust Mortgage and its clients, which are located across multiple states. This role also provides administrative support and oversees the Company Learning Management System (LMS). The LMS provides year-round compliance training for all staff as well as state and federal required continuing education for loan originators.


Essential Duties and Responsibilities:

  • Review documents for proper conformity to multi state mortgage statutes and regulatory agency policies.
  • Authorize the issuance of licenses and renewals in compliance with multi state mortgage law.
  • Complete and process initial and reappointment licensing applications.
  • Ensure timely renewal of licenses and assist with keeping track of all licensing requirements.
  • Research, prepare and track license and other state regulatory licensing applications. 
  • Coordinate and track continuing education classes and license renewal requirements.
  • Monitor NMLS database and act as liaison with Registered Agent Services.
  • Maintain pre-licensure and continuing education materials. 
  • Organize and maintain file system and file state compliance and other records.
  • Conduct research, compile statistical and compliance reports.
  • Make copies and/or scan documents for paper and electronic filing.
  • Maintain compliance calendars and track deadlines. 
  • Compose routine correspondence and prepare annual reports. 
  • May perform other related duties as assigned to meet the ongoing needs of the organization.

Qualifications:

  • Bachelor’s Degree preferred but not required.
  • Credentialing experience preferred but not required. 
  • Must be able to learn quickly and work with minimal supervision.
  • Ability to effectively prioritize and execute tasks in a high-volume, high-pressure environment.
  • Strong customer service orientation and focus.
  • Must be reliable and possess extreme attention to detail and documentation.
  • Excellent interpersonal and communication skills, both oral and written.
