Logistic Coordinator

Job Description

We are seeking a diligent and proactive Logistics Coordinator to join our growing team. The role involves handling quotations, inquiries, and orders to ensure customer satisfaction and support our company’s expansion. This position plays a crucial part in our sales operations, contributing directly to the growth of our organization.

Responsibilities

  • Review customer inquiries and prepare quotations in coordination with Product Engineering and Production Planning & Purchasing.
  • Check inventory availability and obtain freight quotes and vessel schedules.
  • Ensure all documents are filed properly in compliance with current ISO 9001 standards.
  • Review and verify Purchase Orders to ensure alignment with quoted terms for both domestic and export orders.
  • Enter orders into the system and verify delivery feasibility with Production Planning.
  • Negotiate delivery changes with sales representatives or customers as needed.
  • Confirm order details and send order acknowledgments.
  • Ensure full compliance with export control regulations for export orders.
  • Track production status to ensure timely delivery and arrange shipments using appropriate carriers.
  • Obtain freight quotes and prepare all necessary shipping documentation as per customer requirements.
  • Provide shipping instructions and ensure compliance with export regulations for international shipments.
  • Identify and coordinate solutions for issues affecting design, delivery, or customer requirements.
  • Serve as a liaison between customers and internal departments and negotiate to solve issues.
  • Coordinate customer inspections and visits, including scheduling, logistics, accommodations, and meal arrangements.
  • Support hosting annual customer engagement activities.
  • Assist the Marketing Manager and other marketing staff with inventory purchasing, control, and administrative tasks.

Essential Skills

  • Strong communication, organization, and time management skills.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Bachelor’s degree or equivalent experience required; an associate's degree will be considered.
  • 3-5 years in customer service, sales coordination, or logistics preferred.
  • Experience in manufacturing or shipping/receiving is highly valued.
  • RFQ experience is required.

Additional Skills & Qualifications

  • Experience with ERP systems (e.g., M2M) is preferred.
  • Familiarity with international trade regulations (e.g., EAR, Export Control Compliance).
  • Basic data analysis skills and experience assisting in sales reporting.
  • Participation in cross-functional improvement initiatives.
  • Understanding of Incoterms 2020 and international shipping documentation.
  • Graduate-level education is a plus.

Work Environment

This position is fully onsite, with working hours from 8am to 4:30pm. Some flexibility with hours is required for later days due to inventory or tradeshows, with a maximum of 2-3 tradeshows per quarter. All travel expenses are covered. You will be working alongside three other inside sales staff and report to the Director of Marketing or Assistant Marketing Director.

Pay and Benefits

The pay range for this position is $28.00 - $30.00/hr.
