POSITION SUMMARY

The Administrative Assistant, Quality Assurance, under the direct supervision of the Quality Assurance Supervisor, Program Director, Clinical Supervisor, and Program Administrator, will provide administrative support to Case Management. The Administrative Assistant, Quality Assurance, will possess a strong ability to communicate orally and in writing and can identify potential opportunities and enhancements to the services provided by the program.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Quality Assurance

  • Maintain professional communication with community, outreach, and support agencies;
  • Communicate and adhere to program policies and procedures and model professional rapport in accordance with the Casa Base/Casa Raphael Operations Manual;
  • Work with treatment staff as needed in maintaining client records to Drug Medi-Cal standards;
  • Create and maintain detailed records of documentation and auditing; and
  • Create and maintain processes that will better the Substance Use Disorder program.

QUALIFICATIONS

Candidates must demonstrate the ability to follow policies and procedures as established in the Company's Employee Handbook. Candidates will also contribute to a positive work environment by behaving and communicating in a manner such that they get along with all constituent groups, co-workers, and management.

In addition, the education, experience, and other skills listed below are representative of the knowledge, skills, and/or abilities required.

 

EDUCATION & EXPERIENCE

  • High school diploma or GED;
  • Three (3) years of administrative experience; and
  • Three (3) years' work experience in the substance use disorder field, specializing in Drug Medi-Cal processes.

 

KEY SKILLS SET

  • Ability to communicate in person and over the phone, required;
  • Strong written and verbal communication skills, required;
  • Ability to follow confidentiality protocols and protecting personal information, required;
  • Ability to organize and prioritize projects and multiple tasks in an effective and timely manner, required;
  • Effectively problem-solve and maintain composure in high-pressure situations required;
  • Ability to act as liaison with staff, vendors, contractors, and other entities;
  • Knowledge of general office practices;
  • Ability to work independently with minimal daily supervision, required;
  • Strong knowledge in the Drug Medi-Cal billing process;
  • Strong knowledge in Substance Use Disorder policies and procedures, which include County of San Diego BHS and Drug Medi-Cal; and
  • Strong knowledge in auditing practices, which include Substance Use Disorder residential programs and Drug Medi-Cal funded programs.

 

EQUIPMENT AND APPLICATIONS

  • Firm understanding of Microsoft Office, including Excel, Outlook, and Word, required;
  • Working knowledge of all standard office equipment, required;
  • Familiarity with San Diego County database program, Smart Care; and
  • Experience with principles and practices of data collection and report preparation, preferred.
