Job Description

The Senior Administrative Assistant for Operations is a driven, details-obsessed, people-savvy teammate who provides high-level administrative support to the leadership of a major division. This role requires a high degree of autonomy, advanced knowledge of administrative procedures, and the ability to manage multiple priorities and projects independently. The Senior Administrative Assistant supports departmental operations, coordinates complex activities, and contributes to the effective and efficient functioning of the division.

Essential Functions:
Demonstrate TSTC Core Values of Excellence, Accountability, Service, and Integrity.
Independently manage leadership calendars, coordinate high-level meetings, and oversee travel logistics with complex itineraries.
Draft, edit and finalize correspondence, reports and presentations with accuracy and professionalism.
Serve as primary point of contact for internal and external stakeholders, exercising diplomacy and discretion.
Contribute to the development and implementation of departmental projects, ensuring alignment with organizational goals.
Provide mentorship and guidance to junior administrative staff, fostering a collaborative team environment.
Maintain a proactive approach to identifying and resolving potential challenges within office operations.
Coordinate high-level meetings and events, including logistics, materials and follow-up.
Perform other related duties as assigned.

Education/Experience/Knowledge/Skills:
Bachelor’s degree preferred; OR Associate’s degree plus six years of related experience.

Minimum of three years of professional-level administrative experience supporting senior leadership or a major department.
Advanced knowledge and proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).
Proven ability to manage complex administrative tasks and projects independently.
Strong interpersonal skills, with the ability to communicate effectively at all levels of the organization.
Demonstrated leadership qualities and the ability to mentor junior staff.
Exceptional problem-solving skills and the capacity to work under pressure.
Superior written and verbal communication skills.
Ability to work independently and make informed decisions related to office operations.
Strong organizational skills and the ability to prioritize multiple tasks efficiently.

Preferred Qualifications:

Experience in higher education.

Experience mentoring or guiding administrative staff.

Experience supporting complex departmental or divisional operations.
