Job DetailsJob Location: Wake Forest, NC 27587Position Type: Full TimeJOB TITLE: Faculty Support Specialist DIVISION: Instruction SUPERVISOR: Faculty Support Specialist Supervisor, Provost Office PURPOSE OF THE JOB (What are this position’s end results or objectives? Why does the job exist?) To provide office management and support for the faculty. Administrative support will be provided through supervision by the Faculty Support Specialist Supervisor in the Provost's office with daily direction from faculty members as assigned to each specialist. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (What duties are required for the position to exist?) Provide reception both in person and via telephone Provide clerical assistance including but not limited to typing, copying and course page development and management for assigned faculty members Have a working knowledge of Seminary policies and procedures as related to the faculty and to the academic division Attention to detail and organizational skills along with record-keeping abilities Punctuality, the ability to manage time and multiple tasks, and the ability to keep office matters and student information confidential Ensure program assessment artifact(s) are named properly in faculty’s CampusNet Course page (where applicable) Assist assigned faculty with the coordination of assessment juries including harvesting artifacts from CampusNet and scheduling meetings with the Assessment Jury Maintain class attendance as requested by assigned faculty, including attendance for military discount eligibility and financial aid requirements Track accommodations for students with disabilities and assist assigned faculty by making necessary adjustments on CampusNet Track Faculty Development Funds (FDF) for assigned faculty in coordination with the Provost Office Assist faculty with travel in Concur Update course syllabi, quizzes, exams, and upload them to CampusNet as requested by assigned faculty. Specialists are not responsible for creating the content of quizzes or exams. Submit Textbook requests by required deadlines Receive CampusNet and Self-Service training and any other training as required by the Provost Office OTHER DUTIES & RESPONSIBILITIES (Responsibilities/important duties performed occasionally or in addition to the essential duties of the position.) Serve as a liaison for assigned faculty to other faculty, administrative personnel, staff, students, and the public Manage telephone and other messages conveyed to the faculty Handle correspondence and calendars as requested by assigned faculty Maintain gradebook as requested by assigned faculty member (Applicable when faculty member does not have a grader) Maintain files and records as requested by the assigned faculty Maintain an ample supply of stationery and other office supplies for assigned faculty Schedule, coordinate, and assist with appointments related to their faculty position and other designated roles by SEBTS for assigned faculty Manage incoming and outgoing mail in the office suite Confine workload to SEBTS-related work for assigned faculty Maintain and update the continuity folder for the position Share the responsibility for stocking, providing coffee, etc., and keeping the kitchen clean Assist with other duties as requested by the Provost or Faculty Support Specialist Supervisor Qualifications KNOWLEDGE AND SKILLS (Indicate which are required, preferred, or desirable. Include licenses and certificates.) Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc) and the ability to learn other computer programs as needed (REQUIRED) Interpersonal skills with Faculty, administrative staff, students, and the public (REQUIRED)) At least two years of secretarial training or experience with good references is preferred Familiarity with theological terminology is desirable Ability to respond helpfully to a wide diversity of needs as presented by students, faculty, administration, staff, and the public (REQUIRED) Ability to learn, understand, and carry out institutional policy and practice (REQUIRED) Ability to follow directions, organize tasks, manage time well, and relate to other seminary personnel and students in a spirit of cooperation and with a servant attitude (REQUIRED) Ability to maintain discretion and confidentiality in sensitive matters of Seminary business (REQUIRED) FISCAL RESPONSIBILITY (Budgeting responsibilities, approval privileges on purchase orders and check requests, reporting and auditing functions.)
