Position Summary

The Sanitation Admin is responsible for providing administrative, clerical, and organizational support to the Sanitation Department. This position assists with daily sanitation operations by maintaining records, preparing documentation, entering data, coordinating communications, tracking supplies, and supporting sanitation-related activities. The Sanitation Admin serves as a professional representative of the Company and is expected to maintain accuracy, confidentiality, organization, and efficiency while supporting sanitation, food safety, quality, and operational objectives and complying with Company policies and procedures.

Essential Functions

  • Provide administrative and clerical support to the Sanitation Manager, supervisors, leads, and department personnel.
  • Prepare, edit, organize, reports, logs, forms, spreadsheets, and other documentation.
  • Maintain organized electronic and paper filing systems for sanitation records and documentation.
  • Enter, update, and maintain accurate information in Company databases, spreadsheets, and other applicable systems.
  • Maintain sanitation records, cleaning schedules, inspection forms, checklists, corrective action documentation, and related records.
  • Assist with tracking daily, weekly, and monthly sanitation activities and completion of assigned cleaning tasks.
  • Assist with compiling sanitation data, reports, and documentation for, audits, inspections, and food safety requirements.
  • Maintain accurate records of sanitation activities, chemical usage, supplies, equipment, and other department information as assigned.
  • Assist with scheduling sanitation meetings, training sessions, inspections, and other departmental activities.
  • Process incoming and outgoing packages, deliveries, and sanitation-related documents.
  • Order, receive, track, and maintain sanitation supplies, personal protective equipment, chemicals, tools, and other department inventory as assigned.
  • Assist with monitoring inventory levels and communicating supply needs to management.
  • Assist with maintaining sanitation department records, logs, reports, and documentation in accordance with Company requirements.
  • Communicate effectively with employees, supervisors, vendors, contractors, quality personnel, maintenance personnel, and other departments.
  • Assist with coordinating sanitation-related activities with Production, Quality Assurance, Maintenance, Warehouse, and other operational departments.
  • Assist with maintaining documentation related to sanitation inspections, environmental monitoring, corrective actions, and other food safety or sanitation programs as assigned.
  • Maintain confidentiality of employee, customer, vendor, company, and operational information.
  • Assist with audits, inspections, and customer or regulatory visits by organizing and providing requested sanitation documentation as directed.
  • Assist with sanitation training coordination, including preparation of materials, attendance records, training documentation, and scheduling.
  • Assist with special sanitation projects, departmental initiatives, and continuous improvement activities as assigned.
  • Maintain regular and reliable attendance.
  • Comply with all Company policies, procedures, food safety requirements, sanitation standards, safety requirements, and applicable workplace regulations.
  • Assist with the planning and coordination of department meetings, employee events, training activities, and other functions as assigned.
  • Perform other duties, responsibilities, projects, and assignments as directed by management, whether or not specifically described in this job description.

Qualifications

Education and Experience

  • High school diploma or GED required.
  • One to three years of administrative, clerical, data entry, sanitation, food safety, or office support experience preferred.
  • Experience in a manufacturing, agricultural, food processing, sanitation, or industrial environment preferred.
  • Experience maintaining operational, sanitation, food safety, or quality records preferred.

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Must be bilingual in English and Spanish.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain accurate records and documentation.
  • Ability to exercise sound judgment.
  • Ability to prioritize multiple assignments and meet deadlines.
  • Ability to work independently and as part of a team.
  • Ability to interact professionally with employees and individuals at all levels of the organization.
  • Ability to learn and effectively utilize Company software, databases, and sanitation or food safety systems.
  • Ability to follow written procedures, instructions, sanitation requirements, and Company policies.
  • Ability to identify and communicate discrepancies, incomplete documentation, or sanitation-related concerns to appropriate personnel.
  • Ability to adapt to changing priorities and business needs.
  • Basic understanding of sanitation, food safety, GMPs, or manufacturing practices preferred.

Work Environment

  • Primarily works in a professional office environment while supporting sanitation operations.
  • Frequent interaction with sanitation employees, supervisors, production personnel, quality personnel, vendors, contractors, and visitors.
  • Regular use of computers, copiers, printers, and other standard office equipment.
  • May regularly visit production, warehouse, sanitation, or other operational areas.
  • May be exposed to varying noise levels, temperatures, moisture, dust, cleaning chemicals, odors, wet or slippery surfaces, and other conditions associated with a food processing or manufacturing environment.
  • May be required to wear appropriate personal protective equipment when entering production, sanitation, or other operational areas.
  • Must follow all applicable safety, sanitation, food safety, chemical handling, and personal protective equipment requirements.
