Title: Floating Medical Receptionist

Salary: $21.00 per hour

Supervisor: Office Manager

Location: Dutchess & Ulster Counties

Status: Part-Time, Non-Exempt, 20 hours per week      

Schedule: Varies based on staffing needs

Function: 

The Office Specialist provides clerical support to outpatient behavioral health centers. Responsibilities include greeting clients and visitors, scheduling appointments both in person and telehealth, collecting co-pays and service fees, answering and routing telephone calls, and maintaining organized documentation. The Office Specialist also provides a variety of routine clerical services, including filing, photocopying, faxing, maintaining office supplies, and sorting and distributing mail. This position is not based at one clinic and is responsible for covering as needed across 8 behavioral health centers.

Qualifications: 

  • Graduation from high school or possession of a high school equivalency diploma.
  • One (1) year of full-time clerical work experience, or completion of a clerical training program preferred

Position Responsibilities:   

  • Provide office coverage across eight Behavioral Health Centers located throughout Dutchess and Ulster County, based on operational and staffing needs.
  • Schedule clients for both in person and telehealth services.
  • Consistently monitor for cancellations and rescheduling needs through a third-party application.  
  • Perform skilled keyboarding and accurate data entry in a fully integrated electronic medical record system.
  • Accurately record daily fee collection including service fees, copays, deductibles, and invoice payments. 
  • Reviews records and documents for completeness, accuracy, and compliance with standards. 
  • Scans and files materials in record system in accordance with guidelines. 
  • Maintains records of time and benefit usage, employee certification and training.     
  • Adhere to prescribed privacy practices and HIPAA regulations to protect the security of our clients and their medical records and ensure that confidentiality is maintained. 
  • Support Office Specialists to ensure completeness of daily tasks. 
  • Regularly reviews front office processes for opportunities for improvement and proactively makes recommendations for reducing variation across clinics.
  • Other duties as assigned.
Essential Requirements: 
  • Reliable transportation with the flexibility to travel to all behavioral health centers based on coverage needs.
  • Ability to navigate different center workflows and help promote consistent practices across locations.
  • Ability to integrate seamlessly into different office environments and team dynamics
  • Ability to build strong, collaborative working relationships with diverse teams across multiple locations

Skills & Abilities: 

  • Comfort with grammar, spelling, punctuation and required formats necessary to recognize and correct such errors in correspondence, records, and reports. 
  • Knowledge of software packages for word processing to produce a variety of information and for database management to track information. 
  • Knowledge of office practices necessary for interacting with staff and the public, processing workflow, and filing and retrieving information. 
  • Comfort with arithmetic to verify calculations and report on work activities. 
  • Skill in operating office automation equipment sufficient to produce work accurately and efficiently. 
  • Ability to learn and work within procedures and guidelines. 
  • Ability to provide basic information and direction to clients, public and others. 
  • Ability to collect and record fees. 
  • Ability to develop and maintain collaborative and supportive working relationships with all members of the clinical and clerical staff; informs Clinic Director of relevant clinical and administrative issues; consult appropriately; actively support program goals and system improvements/changes.
