About the Role:
This is more than a traditional Executive Assistant role — it’s a front-row seat to strategy, leadership, and enterprise-level decision-making.
The Executive Assistant to the Executive Vice President, Chief Strategy and External Affairs Officer plays a critical role in enabling senior leadership and driving organizational effectiveness. This position is ideal for a seasoned, highly motivated professional who wants hands-on exposure across functions, enjoys partnering with senior leaders, and thrives in a dynamic, fast-moving environment.
The ideal candidate is proactive, polished, and solution-oriented — someone who anticipates needs, builds trust quickly, and brings calm and clarity to complex, time-sensitive situations. You’ll work closely with executive leadership, internal teams, and external partners, making this a highly visible and impactful role.
What You'll Do:
Executive Support
Manage complex, high-volume calendars for a Senior Executive and multiple Vice Presidents
Serve as a trusted gatekeeper, managing communications with internal teams, external partners, and the public
Coordinate internal and external meetings, senior leadership sessions, and industry conference participation
Prepare and distribute executive-level presentations, communications, and materials
Meetings & Events
Plan and support executive-level onsite and offsite meetings, including agendas, materials, logistics, and follow-up
Lead or support onsite and offsite events from planning through execution
Travel & Expenses
Arrange detailed domestic and international travel itineraries
Process expense reports and manage invoices with accuracy and discretion
Financial & Procurement Support
Partner with Finance and Accounting to code invoices against budgets, cost centers, and projects
Establish new vendors in the global procurement system (GEP)
Utilize accounts payable systems (Catalyst) to ensure timely and accurate processing
Operational Excellence
Identify opportunities to improve processes, increase efficiency, and support the broader organization
What You'll Bring:
- 10+ years of senior administrative experience, including 5+ years supporting C-suite executives
- Bachelor’s degree preferred
- Experience in corporate operations, including complex calendar management, travel coordination, expense reporting, and event planning
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Teams); familiarity with AMEX and Concur
- Exceptional organizational skills with the ability to manage multiple priorities in fast-paced environments
- High professionalism, discretion, and strong written and verbal communication skills
- Strategic, proactive self-starter with the ability to anticipate needs, think big-picture, and drive process improvements
The estimated hourly range for this position is $45 to $55 per hour plus bonus.   Starting pay is dependent on multiple factors, such as skills, experience and work location, and is not typically at the top of the range.  At Xylem we offer a competitive compensation package with a generous benefit package, including Medical, Dental, Vision plans, 401(k) with company contribution, paid time off, paid parental leave and tuition reimbursement.Â
