Position Overview:
The Administrative Assistant will provide comprehensive support to OSHA's Office of the Assistant Secretary and National Office Directorates. The role involves a wide range of administrative tasks to ensure smooth operations and efficient management of office functions.
Key Responsibilities:

Scheduling and Appointments:
Manage and maintain Directorate Management and Agency Staff calendars by coordinating meetings, conferences, and teleconferences, including oversight of office events and leave calendars.Systems Access Management:
Administer and manage staff access to email distribution groups and SharePoint sites by coordinating requests through the DOL Enterprise Service Desk. Ensure timely provisioning, updates, and removal of permissions in accordance with Department protocols.Speaker Request Coordination:
Manage and process all Speaker Requests, including coordinating submissions to and from the Secretary's Office. Ensure timely review, proper approval routing, and accurate documentation.Correspondence Handling:
Receive, review, assign, and expedite the preparation and processing of Agency correspondence, including controlled correspondence in the Correspondence Tracking System (CTS). Ensure quality, accuracy, and readability of all communications.Communication Management:
Manage incoming and outgoing telephone calls, provide general information to callers, and direct calls to appropriate staff using multi-line phone systems and Microsoft Teams. Maintain a professional office presence to greet visitors and respond to general inquiries.Database and Filing Systems:
Create, maintain, and update databases within OSHA Program Offices. Establish and manage both paper and electronic filing systems, ensuring accurate recordkeeping and document organization.Meeting and Event Support:
Attend meetings and provide verbal and written summaries. Prepare conference and event materials to support office functions.Office Equipment and Supplies:
Operate and maintain office equipment such as scanners, copiers, and fax machines, including arranging repairs and performing preventative maintenance as needed. Order and maintain office supplies in accordance with federal guidelines and procedures.Document Preparation and Management:
Format, proofread, edit, retrieve, review, and distribute document information, including text, data, and graphics. Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook, and Teams) in a Windows-based environment.Travel Coordination:
Arrange travel, make reservations, and prepare travel vouchers using the E2 Travel system while ensuring compliance with federal travel regulations.
Qualifications:
- Experience: At least 5 years of relevant administrative experience, or a Bachelor's degree plus 2 years of relevant experience.
- Skills: Proficiency in Microsoft Office Suite (2016) and office equipment. Strong organizational and communication skills.
- Additional: Ability to manage multiple tasks efficiently and accurately in a fast-paced environment.
- Location: Must be able to work onsite in the District of Columbia Monday - Friday.
- Citizenship: U.S. Citizen.
