Position Overview

Washington Financial Bank is seeking an experienced Administrative Executive Assistant to provide high-level administrative support to the Chief Executive Officer (CEO), Administrative Services Manager, and other Bank executives. This role requires professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a confidential, fast-paced environment.

Key Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings, appointments, travel, and hotel arrangements
  • Coordinate meetings, conferences, and business engagements; ensure conflicts are avoided
  • Read, screen, and respond to correspondence on behalf of the CEO when appropriate
  • Handle routine inquiries and follow through to resolution or escalate matters as needed
  • Prepare letters, reports, memos, and other documents; sign standard correspondence within scope of authority
  • Gather, assemble, and maintain data for current and future projects
  • Track the status of projects under the CEO’s authority to ensure timely completion
  • Maintain paper and electronic files, many of a confidential nature
  • Open, sort, and route incoming mail; manage outgoing correspondence
  • Answer phones and greet visitors in a professional and courteous manner
  • Coordinate Board of Directors meetings, including agenda preparation and meeting materials
  • Attend Bank meetings and prepare minutes as assigned
  • Assist with Bank examinations, shareholder meetings, annual reports, and quarterly reports
  • Support special projects and work collaboratively with Bank personnel across departments
  • Maintain strict confidentiality at all times
  • Follow all Bank policies, procedures, and regulatory requirements, including BSA, CRA, and ECOA compliance


Required Qualifications

  • High school diploma or equivalent required with an emphasis in a business curriculum or related experience
  • Associate degree in business preferred
  • Minimum of four (4) years of experience in a related administrative or executive support role
  • Strong written and verbal communication skills
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Excellent interpersonal and organizational skills
  • Ability to exercise discretion, judgment, poise, and tact
  • Ability to manage complex tasks with multiple variables
  • Proficiency with standard office equipment (computer, printer, copier, scanner, etc.)

 

Work Environment 

  • Office-based position
  • Primary location – 190 North Main Street, Washington, PA
  • Regular use of computer, telephone, printer, copier, scanner, and specialized software
