Overview:

Apis & Heritage is a leading investment firm with a unique, employee-ownership-focused strategy and a clear mission. Having recently closed capital for our second fund, we are building the operational infrastructure to scale our investment and portfolio management capabilities. We are seeking a hands-on Controller to oversee the financial operations of the Fund(s) and the Management Company. Reporting directly to senior leadership and working in close coordination with the firm’s Fractional CFO, this individual will serve as the firm’s single source of truth across all fund accounting, credit facilities, loan servicing, and compliance functions. The firm operates with a strong support infrastructure — including a third-party fund administrator and a Fractional CFO — so this role is primarily one of oversight, review, and coordination rather than first-draft preparation. This is an individual-contributor role with broad scope and high visibility; the right candidate will take full end-to-end ownership of outcomes rather than managing a team.

Key Responsibilities:

Fund Accounting & Capital Activity

  • Prepare, review, and manage capital calls across all fund vehicles, including drafting notices, tracking LP commitments, and coordinating with the fund administrator and custodian banks.
  • Manage subscription line advances and repayments, including draw requests, paydown scheduling, and reconciliation against capital call timing.
  • Oversee all capital distributions and equalization calculations in strict compliance with Limited Partnership Agreements (LPAs).
  • Provide oversight of the fund administrator’s general ledger maintenance across all fund entities and the Management Company; review outputs for accuracy, completeness, and compliance with the LPA and US GAAP, and coordinate with the Fractional CFO on any material issues or adjustments.
  • Review and validate quarterly NAV packages prepared by the fund administrator.
  • Review quarterly and annual financial statements prepared by the fund administrator for the Fund(s) and General Partner entities; ensure compliance with US GAAP and coordinate with the Fractional CFO prior to delivery to LPs.

Loan Servicing & Credit Facilities

  • Manage all aspects of credit line administration, including tracking outstanding balances, interest accruals, covenant compliance, and facility renewals.
  • Oversee loan servicing activity for portfolio-level debt instruments, including payment processing, amortization schedules, and borrower reporting coordination.
  • Maintain detailed records of subscription line and credit facility activity across vehicles; serve as the primary contact for lender reporting requirements.
  • Coordinate with lenders to prepare and deliver compliance certifications and supporting documentation on required schedules.

Monitoring & Reporting

  • Review weekly fund cash reconciliations prepared by the fund administrator across all fund vehicles; ensure accuracy, follow up on discrepancies, and escalate issues as appropriate.
  • Manage weekly accounts receivable and accounts payable activity across all fund and management company vehicles.
  • Prepare and distribute regular credit statistics reports, including portfolio-level performance metrics, leverage ratios, and covenant tracking.
  • Work with the portfolio accounting team to ensure that credit metrics, financial covenants, and portfolio company financials are accurately tracked and maintained; serve as the firm’s single source of truth for portfolio metrics, covenants, and financial data in coordination with the investment team and portfolio accounting team.
  • Support the investment team with portfolio company performance tracking and fund-level return calculations (IRR, MOIC, and related metrics).

Valuation Committee Support

  • Coordinate and support the quarterly Valuation Committee process, including reviewing supporting schedules, organizing investment team inputs, and maintaining documentation.
  • Ensure valuations are accurately reflected in NAV and financial statements.
  • Manage a consistent, well-documented valuation methodology across portfolio investments.

Compliance, Audit & Tax

  • Work with the Fractional CFO to coordinate the annual fund audit process, including preparation of audit schedules, delivery of audit confirms, and day-to-day management of the external auditor relationship.
  • Partner with the Fractional CFO to manage the quarterly tax call process with external tax advisors; track open items, deliver required financial data, and ensure timely K-1 and tax return preparation.
  • Prepare and deliver compliance certifications to lenders and other counterparties on required schedules.
  • Assist with regulatory filings (e.g., SEC/ADV, Form D) in coordination with the firm’s compliance consultant.
  • Design and maintain a robust internal control environment to safeguard assets and ensure data integrity.

Investor Relations & LP Reporting

  • Review quarterly LP reporting packages, including investor letters, capital account statements, and customized reporting as required.
  • Respond promptly to ad-hoc financial and operational inquiries from Limited Partners during fundraising and ongoing fund management.
  • Support the IR team on DDQ and RFP completion as needed.

Qualifications:

Required

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 5–10 years of progressive experience in accounting or finance, with meaningful exposure to private credit or private equity fund accounting, alternative asset management, or fund administration.
  • Demonstrated experience managing capital calls, credit facility administration, and loan servicing workflows.
  • Excellent analytical and communication skills
  • Strong commercial judgment and ability to quickly evaluate complex business and financial matters.
  • Self-starter with an entrepreneurial mindset and a hands-on, team-oriented approach.

Preferred

  • Familiarity with lower mid-market credit monitoring, including covenant tracking.
  • Experience supporting valuation processes using standard methodologies.
