Position Overview:Â
The Coordinator, Gift Administration, is a key member of a six-person team that manages incoming donations, donor services, and data files for the Philanthropy division.  This role is part of the larger Strategic Operations department, which supports the National Park Foundation’s comprehensive and growing fundraising program.Â
As a member of the larger Philanthropy division, the Coordinator is responsible for uploading and committing gifts into NPF‘s database of record. This position requires comfort with and understanding of data, data processing, and relational databases. The Coordinator will anticipate the cadence of daily work and perform a structured series of tasks each day. Tasks must be completed within set timeframes, and the Coordinator’s work will activate multiple workflows across the organization. Overall, the Coordinator will manage a steady workload throughout the year, but will experience a few surges, the biggest of which typically occurs around calendar year-end.Â
This full-time position, based in Washington, DC, works closely with members of the Strategic Operations and Finance team to ensure accurate gift coding across all sources.Â
Responsibilities and Duties:
- Use donor database systems—specifically Raiser’s Edge and/or Raiser’s Edge NXT—to process gifts to the National Park Foundation with a high rate of accuracy
- Import gifts from NPF’s online database, Luminate Online, into Raiser’s Edge NXT; clean and prepare data for committing into Raiser’s Edge
- Download gift files from our caging partner’s FTP and NPF’s online database; clean data and import and commit files into Raiser’s Edge
- Investigate the donor intent and follow up with NPF colleagues on coding before gift entry
- Apply soft credits to donor records; research workplace and matching gifts as necessary to apply soft credits
- Open and log in-house checks; send to caging partner for processing
- Ensure database integrity by reporting merge requests and other data hygiene needs to immediate team members
- Identify areas for increased efficiency or process improvement on all tasks, partnering with colleagues as appropriate
- Perform related duties as assigned within the scope of practice
Required knowledge, skills, and abilities:
- Exceptional attention to detail required
- Strong written and verbal communication skills
- Good judgment and a high degree of confidentiality are a must
- Demonstrated ability to learn and apply new information; ability to ask clarifying questions to support learning, understanding, and application
- Excellent organization and time management skills
- Experience working with relational databases and gift coding (preferably with Raiser’s Edge and/or Raiser’s Edge NXT)
- Must possess the ability to work well individually and as part of a team; recognize how work relates to other processes
- Must be self-starting; can work without prompting and is solutions-driven
- Experience working with the Office 365 suite; strong proficiency in Excel
Preferred education and experience:
- 2+ years’ experience in gift processing, financial accounting, or related data entry discipline
- General office administrative experience
