Description

Vistra is seeking a program support associate to provide essential administrative, coordination, and documentation support to the Crisis Response and Lethal Means Safety portfolio. This team member ensures smooth day-to-day operations by supporting meeting preparation and logistics, capturing and organizing meeting minutes, tracking action items, and maintaining program documentation. The role enables senior analysts, clients and adjacent SMEs to focus on higher-level policy, legislative, and strategic work by managing foundational operational tasks with accuracy, timeliness, and attention to detail. This position supports a fast-paced mission environment, helping the team stay coordinated across multiple ongoing efforts, including crisis response activities and LMS initiatives.  This position is primarily remote with occasional on-site requirements at the Mark Center or Pentagon. Candidates in the Metro DC area strongly preferred.  


Requirements

  • Bachelor’s degree in Business, Public Health, or related field and 2-3 years of directly related experience
  • Support scheduling, meeting logistics, and administrative coordination for Crisis Response and Lethal Means Safety activities. 
  • Capture clear, accurate meeting minutes, action items, and decisions during internal and external meetings (e.g., weekly planning, LMS program touchpoints, interagency partners).
  • Maintain tracking tools, shared folders, and project documentation to ensure version control and information accessibility. 
  • Ability to take clear and structured meeting minutes, summarizing discussions, decisions, and action items.
  • Assist in drafting simple summaries, status updates, and tasker inputs based on guidance from clients. 
  • Support document organization, research note compilation, and maintenance of reference materials (e.g., program documents, LMS resources, environmental scans). 
  • Help prepare meeting agendas, read-ahead packets, and slide updates as needed for stakeholder and interagency meetings.
  • Public Trust.  a minimum of secret clearance is preferred.

Additional Preferred Qualifications:

  • Ability to learn quickly about crisis response, suicide prevention, and lethal means safety concepts (no prior SME knowledge required).
  • Experience in government, public health, or military-adjacent environments is helpful but not required. Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong interpersonal skills and comfort engaging with stakeholders in a professional environment.
