Overview

Imagine uncovering historical documents that could solve decades-old mysteries and help the Defense Intelligence Agency (DIA) identify missing service members. As a Record Cataloger/Inventory Specialist, you'll play a crucial role in preserving our nation's history, meticulously documenting records for future generations. This unique position combines historical intrigue with impactful work that contributes to national security.

 

The Inventory/Cataloging Specialist supports records inventory and cataloging operations for mixed-media collections in a secure government environment. This role is responsible for identifying, organizing, and documenting boxes and media types so the Government can assess collection content, determine handling requirements, and plan for the equipment needed to review materials.

Work Schedule and Location:

On-Site: This on-site position will work Monday through Friday at the DIA Headquarters (Luke Ave SW, Washington, DC, 20340).  Hours to be coordinated with your manager.

Responsibilities

  • Conduct physical inventory and cataloging of mixed-media records collections stored in boxes, containers, or other archival holdings.

  • Identify, sort, and document media types, formats, labels, and other distinguishing characteristics of stored materials.

  • Create and maintain accurate inventory records, logs, spreadsheets, databases, and tracking tools in accordance with contract requirements and Government direction.

  • Record box-level and item-level descriptive information, as required, to support future review, retrieval, and equipment planning.

  • Verify counts, locations, identifiers, and associated metadata for inventoried materials.

  • Organize materials in a logical and traceable manner to support accountability, chain of custody, and efficient retrieval.

  • Review and verify digital media.
  • Flag damaged, unidentified, or unusual media for further Government review or handling guidance.

  • Coordinate with program leadership and Government representatives regarding workload status, collection characteristics, and inventory findings.

  • Support quality control reviews of inventory records to ensure completeness, consistency, and accuracy.

  • Comply with all site security, records handling, and information management procedures.

Qualifications

Required Skills: 

  • TS/SCI clearance with CI poly 
  • Experience performing records inventory, cataloging, archives support, library support, records management, or similar document/material control functions.

  • Experience working with spreadsheets, databases, or inventory tracking systems.

  • Strong attention to detail and ability to accurately record information from physical materials and labels.

  • Ability to manage repetitive, detail-intensive work with a high degree of accuracy.

  • Ability to lift, move, and handle records boxes weighing approximately 25 pounds 

Preferred Qualifications

  • Experience working with mixed-media or non-paper records, including audiovisual, magnetic, optical, or legacy storage formats.

  • Experience supporting Federal records, archives, declassification, or information management programs.

  • Familiarity with handling procedures for sensitive, archival, or fragile materials.

  • Experience with government records inventories, accession tracking, or metadata capture

Pay Range

This is an hourly role and short term.  Annual rate would be 62-70k
