We are seeking an accomplished Executive Operations Specialist to provide the highest caliber of executive administrative and operational support to the Chief Operating Officer (COO) and Division Deputy Directors.

Key Responsibilities:
Executive Scheduling & Calendar Management:
- Serve as the authoritative owner of the COO and Division Deputy Directors' executive calendars
- Proactively analyze, prioritize, and de-conflict all scheduling requests against organizational priorities, travel schedules, and classified meeting commitments
- Develop and deliver look-ahead briefing books for each assigned executive on a daily basis
- Coordinate all aspects of VTC setup across classified and unclassified platforms
- Brief supervisors on the context, purpose, background, and sensitivity of all requested meetings prior to engagement
Senior-Level Correspondence & Administrative Support:
- Draft, format, review, and finalize complex senior-level correspondence, memoranda, reports, and executive communications
- Review all outgoing correspondence for proper format, procedural conformance, grammatical accuracy, and classification markings prior to leadership signature
- Develop and maintain SOPs for all executive administrative and advisory support functions
- Facilitate time and attendance submissions for assigned executives
- Coordinate DOE office space relocations and telephone line installations
Meeting & Event Coordination:
- Record, organize, and distribute meeting minutes within 24 hours of conclusion
- Coordinate secured meetings and classified events with the HSO
- Issue thank-you communications to presenters and attendees within 3 business days
- Coordinate with the Corporate Business Office on pending leadership actions
Travel Coordination:
- Plan and execute all domestic and international official travel in full compliance with FTR and JTR
- Submit all travel vouchers within five (5) business days of travel conclusion
- Manage all travel logistics using Concur Government Edition

Information, Asset & Records Management:
- Maintain verified inventory of all GFE assigned to leadership
- Manage SharePoint content for executive SOPs and administrative workflows
- Develop and maintain indexed decision logs for all administrative actions
- Ensure all documentation involving CUI, OUO, PII, or Confidential materials is handled per DOE security directives

Education (Mandatory):
- Bachelor's Degree (minimum) in Business Administration, Public Administration, Organizational Management, or Business Management from a regionally accredited college or university
- Advanced degrees in qualifying fields are strongly preferred and will be weighted in ranking

Security Clearance (Mandatory):
- Must hold a current, fully adjudicated Secret security clearance at time of application
- Expired, lapsed, pending, or previously held clearances that are no longer active do not satisfy this requirement
- Candidates without an active Secret clearance will be immediately disqualified
Experience:

| Executive Operations Support | Minimum 5 years direct support to SES-level officials, Three/Four-Star General Officers, or equivalent |
| Classified Environment Operations | Must have operated in a classified or sensitive environment with documented responsibility for classified or CUI correspondence |
| Federal Travel System Proficiency | Hands-on experience as travel preparer using DTS, E2 Solutions, or Concur Government Edition — commercial systems do not qualify |
| Congressional/Controlled Correspondence | Must have directly managed IG, GAO, Congressional/Hill, FOIA, or equivalent controlled correspondence for a senior federal executive |
| Secure Meeting Coordination | Must demonstrate prior coordination of SCIF-based or classified meeting environments with a Security Officer   |

Technical Skills (Mandatory)
- Advanced proficiency in Microsoft Office Suite in a federal document production context
- Proficiency in a federal task management system (CATMS, ETMS2, JIRA, or equivalent)
- Working knowledge of Concur Government Edition
- Proficiency in SharePoint for federal document control and SOP management
- Ability to draft correspondence conforming to DOE or DOD correspondence style guides
