Health Care Coordinator – Physical Therapy Clinic

Location: Baltimore, MD
Employment Type: Full-Time
Schedule: M-F (8-4 PM)

Position Overview

We are seeking a Health Care Coordinator to join a busy outpatient physical therapy clinic in Baltimore. The Health Care Coordinator will play an important role in creating a positive patient experience while supporting the day-to-day operations of the clinic.

The ideal candidate is organized, dependable, professional, and comfortable working in a fast-paced healthcare environment. This position requires excellent communication and customer service skills, attention to detail, and the ability to effectively manage multiple responsibilities while maintaining a welcoming and professional environment for patients.

Key Responsibilities

  •  Greet patients and provide a warm, professional first impression. 
  •  Assist patients with the check-in and check-out process. 
  •  Schedule, confirm, and reschedule patient appointments. 
  •  Answer incoming phone calls and assist patients with questions or concerns. 
  •  Maintain accurate patient information and documentation within the clinic's systems. 
  •  Verify insurance information and assist with obtaining necessary patient information. 
  •  Collect copayments, deductibles, and other patient balances as appropriate. 
  •  Assist patients with completing required paperwork and forms. 
  •  Monitor appointment schedules and help maintain efficient patient flow. 
  •  Communicate effectively with physical therapists, physical therapy technicians, and clinic leadership. 
  •  Assist patients with the clinic's electronic check-in kiosk and provide guidance when needed. 
  •  Monitor and respond to patient inquiries in a timely and professional manner. 
  •  Assist with referral and authorization-related processes as needed. 
  •  Maintain confidentiality of patient information in accordance with HIPAA requirements. 
  •  Help maintain a clean, organized, and welcoming front-office environment. 
  •  Support overall clinic operations and assist with administrative tasks as needed. 
  •  Provide excellent customer service to patients, family members, referral sources, and other healthcare professionals. 
  •  Address patient concerns professionally and escalate issues to appropriate leadership when necessary. 
  •  Perform other duties and responsibilities as assigned. 
Qualifications

  •  High school diploma or equivalent required. 
  •  Previous experience in a healthcare, medical office, physical therapy, or customer service setting preferred. 
  •  Strong communication and interpersonal skills. 
  •  Excellent organizational and time-management abilities. 
  •  Ability to multitask and prioritize responsibilities in a fast-paced environment. 
  •  Comfortable using computers, scheduling systems, and other office technology. 
  •  Strong attention to detail and accuracy. 
  •  Professional and positive attitude. 
  •  Ability to work effectively as part of a team. 
  •  Ability to maintain patient confidentiality and professionalism at all times.
